POSITION: Executive Assistant to the Chief Human Resource Officer
LOCATION: E.J. McClendon Administration Building
JOB SUMMARY:
Selected applicant will provide high-level administrative and confidential support to the Chief Human Resource Officer and Human Resources Department, including personnel processes, board materials, budgets, evaluations, substitute services, and compliance-related HR functions.
MINIMUM QUALIFICATIONS:
High school graduate or equivalent.
Experience with office procedures, including the operation of standard office equipment as needed.
Working knowledge of Microsoft Office, Gmail, Google Drive/Docs, Excel, and ability to learn HR systems including Frontline, substitute management, applicant tracking, and evaluation platforms.
Interpersonal and judgmental skills necessary to work professionally with employees, administrators, union representatives, applicants, and the public.
Ability to analyze work and projects to achieve maximum efficiency, anticipate problems, and provide solutions.
Possesses excellent organizational skills and strong attention to detail.
Ability to set, manage, and coordinate multiple priorities.
Excellent written and oral communication skills, including proofreading and preparing correspondence, reports, agendas, and board materials.
Ability to take initiative and work independently without direct supervision.
Ability to maintain tact and diplomacy under stressful situations.
Ability to maintain confidential employee, personnel, and labor relations information.
Demonstrated commitment to continuous improvement.
DUTIES AND RESPONSIBILITIES:
Assumes responsibility for the administrative support needs in the department.
Provides executive assistant services and customary administrative support to the Chief Human Resource Officer.
Receives, assists, and processes telephone inquiries.
Assists in developing and preparing information needed for district and building communications.
Maintains attendance information and prepares time sheets for all applicable building staff.
Supports department accounting, budget tracking, requisitions, check requests, and purchase orders.
Prepares information and materials for the board packet.
Maintains major HR projects, records, spreadsheets, calendars, and tracking documents.
Assists with confidential employee relations, investigations, grievances, negotiations, and personnel documentation as directed.
Monitors department budgets for fiscal responsibility.
Monitors and orders various supplies, and equipment as needed for the staff.
Types all requisitions, check requests, and initiates purchase orders necessary for the efficient operation of the department.
Performs duties related to the evaluation of administrators, teachers, and support staff.
Provides backup support for substitute services, ICHAT/background checks, and employment compliance processes.
Organizes teacher mentor documents and supports onboarding, employment processing, and staffing functions.
Supports PA-189 process.
Maintains Frontline Professional Growth and other HR systems as assigned.
Performs duties related to student teacher placements.
Takes Policy Committee notes and processes policy updates and related follow-up.
Performs other duties as assigned.

REPORTS TO: Chief Human Resource Officer
RATE OF PAY: Grade 4 Non-Affiliated salary schedule - $56,114-$71,392.
52 weeks per year. Placement on salary schedule will be based on experience and qualifications. Salary will be prorated to start date.
TERMS OF EMPLOYMENT: 260 days per year
EVALUATION: Performance of this position will be evaluated annually.

TERMS OF EMPLOYMENT:
Upon recommendation for employment, Section 1230g, as amended, of the Revised School Code requires all school employees to be electronically fingerprinted for the purpose of undergoing a criminal history background check. The fingerprinting is conducted by a third party and is at the expense of the applicant. Cost for fingerprinting is approximately $70.00.
