Role Description
The Administrative Assistant serves as the primary point of contact for visitors, members, and the public while providing comprehensive administrative support to the Executive Director and organization. This position is responsible for office administration, member services, event coordination, communications, database management, and maintaining professional operations. The ideal candidate is highly organized, customer-focused, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Qualifications:
- Excellent communication skills with the ability to multitask effectively
- Strong knowledge of grammar, composition, spelling, and punctuation
- Excellent time management and organizational skills
- Strong understanding of general office procedures and office equipment
- Good analytical and problem-solving abilities
- Excellent customer service and telephone communication skills
- Accurate typing and data entry skills
- Proficiency in Microsoft Word, Excel, Adobe Acrobat, and Microsoft Outlook
- Experience with filing, scanning, faxing, and preparing correspondence
- Ability to greet visitors and professionally handle inquiries from members and the public
- Experience maintaining records, databases, invoices, and filing systems
- Ability to manage office inventory, supplies, and equipment maintenance
- Experience maintaining membership databases and processing invoices and payments
- Ability to coordinate meetings, prepare agendas, take minutes, and distribute communications
- Experience assisting with event planning, promotions, registrations, and special projects
- Ability to create and distribute newsletters, calendars, and electronic communications
- Experience working with Constant Contact or similar email marketing platforms preferred
- Knowledge of social media platforms including Facebook, Instagram, and X
- Experience with WordPress website updates preferred
- Familiarity with Dropbox and CC-Assist software preferred
- Ability to maintain confidentiality and exercise professionalism at all times
- Strong attention to detail and commitment to accuracy
- Ability to work independently and collaboratively with leadership, members, and volunteers
