We are looking for a highly organized, dependable, and friendly Administrative Assistant to support our leadership team and help ensure our center operates efficiently each day. About the Role
The Administrative Assistant provides administrative support to the Director of Operations and Director of Education while serving as a welcoming and professional first point of contact for families, visitors, and employees.
This position plays an important role in keeping daily operations organized by supporting enrollment processes, maintaining accurate records, coordinating administrative tasks, and helping ensure our leadership team can focus on serving children, families, and staff.
Primary Responsibilities
Administrative Support
- Answer phones, greet families and visitors, and provide outstanding customer service.
- Provide administrative support to the Director of Operations and Director of Education.
- Manage incoming emails, messages, and office communications.
- Prepare reports, forms, and other administrative documents.
- Assist with filing, copying, scanning, and data entry.
- Maintain organized office systems and records.
Enrollment & Family Support
- Schedule tours for prospective families.
- Prepare enrollment packets and onboarding materials.
- Collect and organize enrollment paperwork.
- Maintain accurate child files and administrative records.
- Respond promptly and professionally to family inquiries.
- Help create a welcoming and positive experience for every family.
Organization & Office Management
- Maintain office supplies and administrative inventory.
- Assist with approved supply ordering and receiving.
- Organize forms, binders, and center documentation.
- Help maintain bulletin boards, parent communication areas, and administrative displays.
- Support preparation for center events, meetings, and trainings.
- Social Media posting and support
Leadership Support
- Assist leadership with special projects and administrative tasks.
- Support licensing documentation and organization.
- Maintain confidentiality of all employee and family information.
- Help ensure administrative systems remain accurate, organized, and up to date.
- Willing to maintain ratio in classrooms

Qualifications
- Administrative or office experience preferred.
- Customer service experience required.
- Childcare experience is helpful but not required.
- Strong organizational and time management skills.
- Excellent verbal and written communication.
- Comfortable using Google Workspace, email, and technology.
- Ability to learn new software and systems.
- Ability to multitask in a fast-paced environment.
