What You�ll Do (full job description listed below):
- Manage repair orders
- Assist with daily operations (handling payments, records, accounts, etc.)
- Ensuring efficient communication between customer, technicians, and management
- Support payroll, estimates, vendor communication, and other duties
- Manage documents including scanning and shredding
- Assist Body Shop Management with parts issues, purchase orders, and repair orders
- Maintain a professional appearance and a clean and organized work area
What You Need:
- High school diploma or GED
- Valid driver�s license
- A great eye for detail and a passion for cars
- Previous experience is a plus, but not required

Job Title
Body Shop Administrative Assistant
Summary
Provides administrative support to body shop operations.
Essential Duties
- Open repair orders for all vehicles entering the body shop for repairs.
- Receive cash, checks, and credit card payments from customers and accurately record all amounts received.
- Close repair orders in the Body Shop Management System in a timely manner and ensure proper posting to the dealership accounting system.
- Reconcile the cash drawer daily as directed by the accounting office.
- Follow up on body shop accounts receivable to maintain satisfactory payment levels.
- Assist the Body Shop Manager with administrative tasks, including:
- Payroll
- Estimates
- Vendor communications
- Other administrative support as needed
- Prepare purchase orders.
- Maintain the manual filing system throughout the closing and collections process.
- Manage the document management system by:
- Scanning documents
- Maintaining electronic records
- Shredding documents in a timely manner
- Utilize the Body Shop Management System to assist the manager with daily reporting requirements, including:
- Open repair orders
- Parts issues
- Purchase orders
- Collection of completed work
- Maintain a professional appearance and a clean, organized work area.
Marginal Duties
- Greet customers in a pleasant and professional manner.
- Answer incoming phone calls promptly, politely, and professionally.
- Screen and direct calls to the appropriate person or obtain sufficient information to ensure timely customer follow-up.
