This non-exempt staff position assists the Dean and Associate Deans in the College of Behavioral & Health Sciences by ensuring the College office runs smoothly. Provide general organizational skills and current, accurate information to the dean. Assist chairs and faculty at the discretion of the Dean.
Primary Duties and Responsibilities
Greet visitors, answer incoming calls and emails, respond to inquiries or transfer
calls to the appropriate person.
Provide training and support to the Academic Assistants in the departments.
Check the documents submitted by departments prior to the dean’s signature.
Process requisitions, payment authorizations, assist with purchases.
Verify overload compensation, assist department with faculty hiring process.
Arrange and organize meetings for Retention-Tenure and Promotion Committees.
Load RTP documents into faculty dossiers and secure all RTP documentation.
Process travel authorizations, travel claims, purchase airline tickets, make hotel
reservations, reserve cars, process conference registrations, request and
distribute funds in advance for deans and serve as back up to departments as
needed.
Coordinate events such as college awards ceremony, recruitment events, alumni
and advancement events. Organize college-level meetings, take minutes.
Maintain a college and deans’ calendar.
Ensure that departments receive training and updates on changes in software,
procedures and maintain training manuals for departmental assistants. Provide
support for admins & faculty on the use of multiple software packages and office
equipment as needed. Maintain college web page.
Ensure students with complaints or grievances complete the correct paperwork
prior to meetings with the chairs/dean, work with students to prepare CARE Policy & FRESH START applications. Supervise and assign work to scholarship and work study students.
Organize paperwork for College Curriculum committees, TLC reports for all
departments checked for accuracy, maintain Extra Compensation Reports, Low
Enrolled course reports, and Adjunct reports, assist with Budget presentations
and other reports requested by Academic Affairs.
Monitor budgets to include monthly reconciliation with Banner.
Serve as principal administrator for Student Learning & Licensure (SLL) software.
Serve as a member of the Dean’s Council (College leadership team)
Perform other related duties as assigned.

(Outlook, Word, Excel, etc.) and Elusion Banner.
Ability to communicate effectively and appropriately.
Ability to maintain confidentiality of records and information.
Ability to interact in an effective and appropriate manner with the University
community and the public
Ability to detect and correct grammatical and spelling errors in written
correspondence.
Ability to handle multiple tasks simultaneously.
Required Minimum Qualifications
Minimum of an Associates Degree.
Previous office experience.
Physical Requirements
Light Work: Exerting up to 20 pounds of force occasionally, and/or up to 10
pounds of force frequently, and/or a negligible amount of force constantly to move
objects.
