JOB DESCRIPTION AND/OR DUTIES
1. Maintain a partnership with the Division VP/ Director to protect the executive’s time, manage crucial information, and ensure daily operations run smoothly so that leadership can focus on strategic issues. Anticipate the Division VP/ Director’s needs and proactively address potential challenges or opportunities.
2. Provide overall administrative support to Division Vice President, Division Deputy and/or Research Program Director., including maintaining informational databases and files, managing calendar and assisting with time management and prioritization of tasks.
3. Maintain awareness of Division priorities to ensure effective time management and compliance with deadlines, deliverables, and production standards.
4. Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
5. Analyze and improve administrative business processes and workflows.
6. Provide direction and mentor junior administrative staff, including workload management.
7. Build and maintain strong relationships with internal teams, external partners, and other stakeholders.
8. Coordinate executive interactions with many high-level individuals including foreign dignitaries, flag officers, and corporate management staff.
9. Make extensive national and international travel arrangements, including orders and security clearances and prepare expense vouchers.
10. Plan and organize logistics for conferences and other major events.
11. Perform other duties as assigned.
JOB REQUIREMENTS
1. Education: Bachelor's degree or equivalent combination of education and/or work experience.
2. Experience: Minimum of 5 years' high level administrative experience, including conference planning.
3. Skills:
Microsoft Office
Strong oral and written communication skills, organizational skills and technical skills
Detail oriented
Knowledge of Naval and Marine Corps terminology
Ability to work under pressure and complete a wide variety of assignments with little or no supervision while showing tact and initiative
Ability to anticipate and solve problems
Flexibility in dealing with changing priorities and willingness to work extra hours when needed
The in-depth knowledge of CNA policies and procedures or ability to learn them quickly.
4. Other: Must be able to obtain and maintain a security clearance.
5. Remote/Hybrid Work Eligibility: This position is eligible for telecommuting or hybrid work arrangements at the discretion of the Supervisor. Employees may be required to work at CNA headquarters or other work locations resulting in changes to the scheduled telecommuting or hybrid work arrangements.

PRIMARY PURPOSE CNA is a not-for-profit research and analysis corporation running two major business units, CNA, the Department of the Navy’s Federally Funded R&D Center (FFRDC), and the Institute for Public Research, which provides analytic support to non-DOD government sponsors. The RFR division is seeking a Senior Administrative Assistant with experience in advanced administrative support to help in a number of ways including, preparing documents and product deliverables, making meeting / travel arrangements, answering phone calls, distributing mail and providing back-up to other administrative team members.
