Administrative Assistant – South Bend, IN
Our client is seeking an experienced Administrative Assistant to support executive leadership and oversee the daily operations of a busy front office. This full-time position offers a Monday through Friday, 8:00am to 5:00pm schedule with a one-hour lunch break. This is an excellent opportunity for a professional, organized individual who enjoys supporting leadership, providing outstanding customer service, and keeping an office running smoothly.
Job Duties:
• Provide administrative support to the President & Chief Executive Officer, Board of Directors, and other departments as needed
• Answer and direct a multi-line phone system professionally and efficiently
• Greet and assist clients, visitors, vendors, and donors while maintaining a welcoming front office environment
• Accurately document referrals and maintain required records
• Coordinate office calendars, meeting room schedules, and meeting setup, including audiovisual equipment
• Perform general clerical duties including filing, copying, scanning, faxing, mailing, and data entry
• Maintain organizational records, reports, and office documents
• Track employee, visitor, volunteer, and Board member sign-ins and volunteer hours
• Record donations and acknowledge donors during drop-offs
• Monitor front office security and parking lot cameras while following established safety procedures
• Serve as a liaison between departments and outside vendors
• Assist with additional administrative projects as assigned
This position is ideal for someone with previous administrative or executive office experience who is organized, detail-oriented, and able to manage multiple priorities while maintaining confidentiality and professionalism. The ideal candidate is a strong communicator who enjoys working with people and remains calm and compassionate in a fast-paced environment.
Requirements:
• High school diploma or GED required
• Three to five years of administrative or executive office experience preferred
• Proficiency with Microsoft Office and Google Workspace
• Excellent grammar, spelling, and written communication skills
• Strong organizational, multitasking, and time management abilities
• Accurate data entry and recordkeeping skills
• Ability to maintain confidentiality and professionalism at all times
• Excellent customer service and interpersonal skills
• Ability to work independently and as part of a team
