About the Role
As an Administrative Assistant at Zekelman Industries, you will play a key role in supporting facility leadership by ensuring efficient office operations, coordinating administrative activities, and providing exceptional service to employees, visitors, and business partners. This position requires outstanding organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced manufacturing environment.
You will collaborate with the Plant Manager, Human Resources, leadership teams, vendors, and employees while serving as a central point of contact for office administration, travel coordination, employee communications, and facility support. This is a full-time, onsite role located in Rochelle, IL.

What You'll Do
Provide administrative support to the Plant Manager, Human Resources, and facility leadership team.
Prepare reports, presentations, spreadsheets, correspondence, and other business documents.
Maintain confidential files, records, and documentation with a high level of accuracy and discretion.
Coordinate meetings by preparing agendas, recording meeting minutes, and tracking follow-up items.
Manage calendars and scheduling for leadership as needed.
Arrange business travel, including airfare, hotel accommodations, rental vehicles, and transportation.
Prepare travel itineraries and assist employees with travel-related changes or issues.
Ensure travel arrangements comply with company travel policies.
Manage incoming and outgoing mail, shipments, and package deliveries.
Order and maintain office, breakroom, and kitchen supplies.
Coordinate catering, refreshments, and meeting logistics for training sessions and company events.
Reserve conference rooms and maintain an organized, professional office environment.
Welcome visitors, contractors, vendors, and business partners while coordinating visitor access and meeting logistics.
Serve as the primary point of contact for office vendors and coordinate vendor visits and deliveries.
Create and distribute employee communications, announcements, production schedules, and internal job postings.
Maintain digital communication boards and employee information displays.
Coordinate employee appreciation events, recognition programs, meetings, and engagement activities.
Support new employee onboarding activities as assigned.
Lead and promote healthy and safe work practices as required by regulatory agencies and Company policy.
Perform other duties as assigned.
Who You Are
High school diploma or GED required; Associate's degree preferred.
Minimum of two years of administrative or office support experience.
Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
Experience with Microsoft Teams and SharePoint preferred.
Experience using travel booking systems is a plus.
Ability to quickly learn company-specific software and business systems.
Strong organizational skills with exceptional attention to detail.
Excellent verbal and written communication skills.

Strong time management and problem-solving abilities.

Annual Compensation Range: $43,000 - $69,000
