Summary
The Administrative Assistant provides comprehensive administrative, clerical, and operational support to the school while serving as a welcoming and professional first point of contact for students, families, staff, and community members. This position supports school operations, Positive Behavioral Interventions and Supports (PBIS), front office functions, school communications, and administrative initiatives while helping maintain a positive, organized, and student-centered school environment.
Essential Duties and ResponsibilitiesPBIS & Student Support
- Serve as a first point of contact for recess and other minor discipline-related concerns.
- Log, track, and maintain accurate discipline referral documentation.
- Support student movement to and from the office for behavior interventions.
- Maintain incident reports, parent communication logs, and behavior support documentation.
- Assist with scheduling parent meetings, re-entry meetings, MTSS meetings, and other student support meetings.
- Communicate with families regarding minor incidents and follow-up actions as directed.
- Help supervise and de-escalate students when needed.
- Assist in triaging minor versus major behaviors and determining appropriate next steps before escalating concerns.
- Facilitate restorative conversations, reflection sheets, and other PBIS interventions for minor incidents.
- Support PBIS incentives, recognition programs, and school-wide behavior events.
- Recognize and reinforce positive student behavior throughout the school day.
Front Office Operations
- Provide exceptional customer service to students, families, staff, and visitors.
- Maintain a clean, organized, and welcoming front office environment.
- Manage lost and found items.
- Assist with front desk coverage, student check-in/check-out, morning arrival, and afternoon dismissal.
- Maintain inventory of office and staff supplies.
- Organize and restock common areas, including the front office, workroom, and staff lounge.
School Communications
- Answer and route incoming calls and take messages for staff.
- Deliver parent messages to students during instructional time as appropriate.
- Make school announcements when needed.
- Assist the administrative team with parent communication regarding student behavior and school matters.
- Provide substitute coverage or additional supervision support when necessary.
- Help teach and reinforce school expectations in common areas such as hallways, the cafeteria, recess, arrival, and dismissal.
Administrative Support to School Leadership
- Maintain and update office forms, templates, and shared documents.
- Assist with maintaining the Principal and Assistant Principal calendars.
- Screen and route incoming calls and provide assistance to callers.
- Prepare copies and materials for Board meetings, SAC meetings, staff meetings, professional development, and other school events.
- Respond to general parent inquiries in person, by phone, or via email.
- Order office and event supplies as directed.
- Coordinate snacks and hospitality items for staff meetings and professional development days.
- Restock the staff lounge and other shared areas.
- Perform other duties as assigned.
Event & School Support
- Assist with preparation and logistics for school events.
- Help organize school-wide communications, flyers, newsletters, and informational packets.
- Support picture day, testing days, award ceremonies, and other large-scale events.
- Prepare student certificates, awards, and recognition materials.
- Assist with Puma Awards ceremonies and other student celebrations.
Education & Experience
- High school diploma or equivalent required.
- Minimum of five (5) years of administrative support experience, including office, clerical, receptionist, bookkeeping, or related work preferred.
Knowledge, Skills & Abilities
- Successful completion of a criminal background check required.
- Ability to travel among district facilities as needed.
- Bilingual or second-language skills preferred.
- Strong customer service and public relations skills.
- Excellent organizational, critical thinking, and problem-solving abilities.
- Ability to maintain confidentiality and exercise sound judgment.
- Ability to manage multiple priorities and frequent interruptions in a fast-paced environment.

Physical Requirements
- Ability to sit, stand, walk, bend, and reach throughout the workday.
- Ability to move throughout the school building and campus as needed.
- Ability to operate standard office equipment, including computers, telephones, copiers, scanners, and other technology.
- Ability to occasionally lift, carry, or move office supplies, files, and packages weighing up to 25 pounds.
- Ability to communicate effectively in person, by telephone, and through electronic communication.
- Ability to respond appropriately during emergency or crisis situations.
Work Environment
This position is performed in a busy school office environment with frequent interaction with students, families, staff, vendors, and community members. The Administrative Assistant must be able to manage competing priorities, adapt to frequent interruptions, and maintain professionalism, confidentiality, and excellent customer service in a fast-paced educational setting.
