About the Role:
We are looking for an Executive Assistant + / Client Services Manager as we scale our operations: you’ll own the day-to-day “blocking and tackling” and serve as the primary point of contact on all live cases. This includes managing case logistics, scheduling, generating/sending invoices, communicating with law firms and physicians, and more. This role is ideal for someone who is extremely detail-oriented, an excellent project manager (you’ll often have 40+ active cases at different stages across 20+ clients), comfortable working quickly across multiple software tools, energized by solving problems, and able to exercise sharp judgment throughout.
This is a full-time role with significant room for growth and expanded responsibility as the business scales.
Key Responsibilities:
- Project manage our cases from intake through completion:
- Coordinate operational workflows
- Schedule necessary meetings and exams across cases
- Serve as a point of contact between attorneys, physicians, and internal team (and effectively communicating across these stakeholders)
- Track incoming requests and maintain accurate case status updates in internal systems
- Manage medical records and other materials needed for physician review
- Solve problems: new ones arise everyday

Qualifications:
- We are looking for someone who is:
- Highly organized and detail-oriented
- Able to work efficiently and handle multiple tasks simultaneously
- Comfortable working with modern SaaS tools and online systems
- Solution-oriented and able to figure things out independently
- Highly professional and competent in written and verbal communication with native or near-native proficiency in English
Bonus experience (not required):
- Legal assistant or paralegal experience
- Medical office coordination or records management
- Experience working with law firms, medical practices, insurance companies, third-party administrators or expert witness services
