Overview
Brooklyn Public Library’s (BPL) Adult Learning Department is given very specific performance targets which are used to assess the effectiveness of the program and eligibility for funding. The Office Associate II, will manage the required automated data systems for collection and recording programmatic data - personnel information for instructional and administrative staff; program inventory, maintain book collections; student assessment data, including initial testing and follow up testing data; contact/attendance hours; and outcome survey data – that will be utilized by the department to advance program achievement of mandated performance targets, including decision-making, evaluation, and reporting.
The Office Associate II will work collaboratively with the Adult Learning Center team, volunteers, instructors, dept. staff, and participants enrolled at the Central Adult Learning Center groups, classes and related programs to support the gathering of accurate and timely data and the efficacy of instructional staff utilizing the data collection systems. Other key responsibilities include performance of general office duties, managing inventory of assessment and instructional materials processing, supplies, equipment, collections, assisting participants, triaging multi phone lines, shared email accounts, registrations, outreach, and covering groups in absence of tutors, etc.
The Office Associate II should have a thorough knowledge of databases, Salesforce, Google Drive, Microsoft Access, Excel, as well as excellent communication and customer service skills. The Office Associate II can be responsible for supervising clerical staff.
This is a full-time, union, non-exempt positions. The hiring salary for this position is $44,007.60.
Responsibilities
Perform accurate and timely data entry of program, participants, and instructor information
Maintain inventories of equipment, assessment materials, instructional materials, supplies, etc. necessary for implementation of programming
Create data collection forms and tools utilizing word processing, spreadsheets, and databases
Furnish reports and updates based on data and provide recommendations for program improvement as necessary
Assist with general office duties, including filing, photocopying, correspondence, etc.
Provide excellent internal and external customer service, communication with students and instructors as necessary for data collection; interface with funders and related agencies as necessary
Supervision and support of subordinate clerical staff; collaborate with Departmental team members and staff
Assist with ABE/HSE information sessions, assessments, outcome follow-ups, orientations, and events
Liaise with staff at learning centers and branches as well as departments regarding logistics related to scheduling, inventories, programming materials, and supplies
Person in charge of Adult Learning Center in the absence of site manager and literacy advisor
Engage in ongoing staff development activities to improve the efficacy of technology skills required for efficient management of program data
Assist with groups/classes as needed
Qualifications
High School Diploma or equivalent required, Associates Degree or two years of college a plus
2 years experience – clerical, data entry, customer service, administrative or equivalent position
Experience working on outcomes and deadline driven grant funded projects and programs highly recommended
Strong facility with Microsoft Office programs, in particular spreadsheet and database functions; knowledge of Salesforce data system a plus
Excellent organizational skills with the ability to work independently and under established deadlines
Solid interpersonal skills and ability to work on a diverse team in a fact paced environment
Strong communication skills, oral and written; Strong internal and external customer service skills
Detailed oriented and goals and results driven with strong work ethic and high standards
Required to work evenings and weekends as needed
Work Schedule: M/W/F 9:15-5:00 T/Th 12:45-8:00 Sat. 9:45-2:15
