II. SUMMARY OF ASSIGNMENT
Under general direction of the building principal provides secretarial/clerical, public relations, registration, and supervision of clerical and student staff and for the school to which assigned. Serves as confidential secretary to the building administrator.
III. ESSENTIAL FUNCTIONS
1. Provides confidential secretarial services to the principal or administrator to which assigned. Prepares correspondence, evaluations, bulletins, newsletters, school calendars records, and other correspondence. Assists with preparation of schedules for employees, equipment, facilities, parent conferences and school activities.
2. Serves as building receptionist; greets and refers visitors; answers telephone and gives information, takes message or refers to appropriate person. Receives, sorts, screens and distributes mail. Schedules appointments.
3. May enroll and withdraw students; maintains procedures attendance accounting, data processing reconciliation, and compliance with state immunization statutes.
4. Establishes office procedures, trains and provides daily lead direction to assistant secretary, other clerical staff, student assistants and volunteers; logs and reports absences for building staff. Requests and releases substitutes. Maintains time worked records for subs.
6. Maintains budgets and implements District procedures for the Associated Student Body and Revolving Funds, various fees and District cash transmittals. Balances budgets and prepares reports.
7. Prepares all required reports including attendance, budget estimates, Associated Student Body, mileage, inventories, and others that may be required.
8. Requests, screens and transmits student records; collects free and reduced lunch cards.
9. Assists with preparation of schedules for employees, equipment, facilities, parent conferences and school activities.
10. Maintains records and files. Inventories and orders supplies. Distributes and collects films and other audio-visual items.
11. Coordinates activities for the opening and closing of school and for special activities such as festivals, graduation, open house and other school events.
12. Performs related duties as assigned.

IV. MINIMUM QUALIFICATIONS
A. Education and Experience
1. Two years of college or business/vocational training and two (2) years of school –related clerical experience; or
2. Four (4) years of increasingly responsible office clerical/secretarial experience to include responsibility for client/customer service, and
3. Working knowledge of computer databases and proficient in word processing and spreadsheet applications.
B. Required Knowledge, Skills and Abilities
1. Highly proficient keyboarding ability in use of Microsoft Office and other computer applications.
2. Ability to use dictation and other office equipment such as computer software for word processing.
3. Knowledge of English grammar rules, spelling, composition and punctuation.
4. Knowledge and understanding or ability to learn District policies and procedures.
5. Ability to maintain confidentiality of the position.
6. Ability to communicate effectively and courteously in person and by telephone with students, staff, parents and volunteers in a diverse environment.
7. Ability to maintain composure and make sound judgments under pressure.
8. Ability to collect, accurately count and handle money and ability to work with multiple budgets and bank accounts.
C. Certification and Licenses
1. Fingerprinting and background check.
2. For positions located on Joint Base Lewis-McChord (JBLM) only: Ability to obtain and maintain access to JBLM in compliance with the REAL ID Act and all applicable installation access requirements.
V. DESIRABLE QUALIFICATIONS
1. Clover Park School District secretarial experience.
2. Secretarial Professional Standards Certificate.
VI. WORKING CONDITIONS
Work is performed in a regular elementary school building. Ability to bend, stretch, twist, walk or reach requiring ordinary physical effort; to listen with more attention than normal daily life; more than ordinary skills and speed using fingers, hands and limbs; to tolerate occasional loud noises; exposure to childhood infectious diseases are all required.

CONDITIONS OF EMPLOYMENT
Employment with Clover Park School District is conditional pending completion of a Washington State Patrol and Federal Bureau of Investigation fingerprint background check as required by RCW28A.400.303. (NOTE: All associated background check fees are the employee’s responsibility.) The fingerprint scan must be completed prior to the first day of employment.
