Overview The Administrative Assistant serves as the first point of contact for associates, applicants, vendors, and visitors at the Cavender's. This role is responsible for providing exceptional customer service while ensuring the front desk operates efficiently and professionally. The Administrative Assistant manages incoming calls, welcomes guests, coordinates visitor access, maintains conference room schedules, monitors & reorders supplies for the office, mails new store required items and provides administrative support to multiple departments. This position requires excellent communication, organization, professionalism, and the ability to manage multiple priorities while creating a positive first impression for everyone who enters the Home Office. Duties and Responsibilities · Support the “Cavender’s Culture” and drive our Mission, Vision, and Values · Serve as a key administrative support resource for the Home Office. · Professionally greet, welcome, and assist all visitors, applicants, vendors, and associates at the front desk. · Answer, screen, and route calls using a multi-line phone system while providing exceptional customer service. · Monitor the reception area to ensure a clean, organized, and welcoming environment. · Coordinate visitor check-in procedures and notify associates of arriving guests. · Schedule, reserve, and prepare conference rooms for meetings and events. · Order, stock, and maintain office and breakroom supplies. · Order business cards for Home Office and Store associates. · Maintain office vendor contacts and coordinate service requests as needed. · Pick up, Receive, sort, distribute, package, and ship incoming and outgoing mail, packages, and deliveries. · Assist executives and multiple departments with administrative projects and general office support. · Process expense reports and other administrative documentation as requested. · Maintain office records, files, and administrative documentation. · Assist with special projects and perform other duties as assigned. Qualifications and Requirements · High school diploma or equivalent. · Previous receptionist, front desk, customer service, or administrative support experience. · Excellent verbal and written communication skills. · Professional appearance and customer-focused demeanor. · Strong organizational and multitasking skills. · Proficiency with Microsoft Office Suite. · Ability to maintain confidentiality. · Based in Tyler, TX at the Home Office. Preferred Skills · Experience operating a multi-line phone system. · Experience supporting multiple departments or executives. · Experience coordinating meetings, calendars, or office operations.
