Position Summary
Southwoods Health is seeking a full-time Administrative Assistant / Environment of Care Assistant for our main office in Boardman, Ohio. This role directly supports the Director of Facilities & Maintenance, the Safety Officer, and Construction Coordinators. You will manage essential office duties, coordinate maintenance databases, and compile data to ensure strict compliance with healthcare safety regulations.
- Schedule: Full-time, Monday – Friday, 7:30am-4:00pm.
- Location: Boardman, OH.
Essential Duties & Responsibilities
Administrative & Clerical Support
- Provide core clerical support to the facility maintenance, safety, and construction teams.
- Schedule department meetings, manage correspondence, and record meeting minutes.
- Order, track, and maintain office supplies and equipment inventory.
- Coordinate incoming and outgoing department mail.
- Supports the coordination, tracking, and distribution of employee parking permits.
- Coordinates annual education and skills lab training, including preparation, facilitation, and support for new employee orientation.
Facility, Maintenance & Database Coordination
- Manage and dispatch tasks to technicians using The WorxHub facility maintenance database.
- Assist in tracking, organizing, and coordinating documentation for active facility projects.
- Assemble spill kits and emergency management kits for newly acquired facility buildings.
Safety, Compliance & Quality Reporting
- Participate in physical Environment of Care (EOC) facility rounding alongside mock surveyors, fire marshals, and internal safety teams.
- Track and reconcile medical and industrial waste manifests across all regional sites.
- Monitor medical equipment recalls, notify appropriate departments, and compile formal responses.
Qualifications & Requirements
- Skills: Strong, professional administrative, typing, and clerical capabilities.
- Software: Proven proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Work Style: Excellent multitasking, organizational, and prioritization skills.
- Adaptability: High degree of flexibility to navigate changing daily priorities.
