Key Responsibilities as the Administrative Assistant
The Administrative Assistant will carry out a variety of administrative tasks to support laboratory operations under the direction of the Client Services Manager.
Duties include, but are not limited to:
- Guiding clients through sample submission and bottle request forms with a professional demeanor.
- Handling shipments of samples and supplies.
- Logging projects in the Laboratory Information Management System (LIMS) and state/federal databases.
- Managing a multi-line IP phone system and performing data entry with accuracy.
- Filing and scanning documents, monitoring storage units, and maintaining a clean work area.
- Troubleshooting issues, meeting deadlines, and upholding high-quality data standards.
- Other duties as assigned.
Qualifications
Our ideal candidate will be authorized to work in the United States indefinitely without restriction or sponsorship; possess a combination of strong communication, organization, and computer skills; attention to detail, desire to learn, and a strong work ethic. Other qualifications include:
- High School Diploma or GED Required
- Must be 21 years or older due to regulatory requirements.
- Minimum 6 – 12 months' experience in an office or lab setting preferred. Background in chemistry or environmental project management is a plus.
- Spanish fluency is a plus.
- Experience with Chain of Custody, invoicing, and using a multi-line phone system.
- Experience with LIMS, Word, Excel, and Outlook is a plus.
- Possess excellent organizational and multi-tasking skills; Excellent communication skills, attention to detail, ability to lift 20 – 30 pounds, and work both independently and within a team.
- Self-motivated, adaptable, with a positive attitude with the flexibility to perform duties in other areas if needed.

Position & Schedule
This is a Full-Time, 40 hours position, Monday-Friday 8:30AM - 5:00PM, onsite at Columbia Laboratories in Portland, Oregon.
