Shulman Rogers seeks a Legal Administrative Assistant – Floater that provides front desk coverage and administrative support across multiple practice groups and departments within the firm. This position serves as the first point of contact for clients, visitors, attorneys, and staff while delivering high-quality legal administrative assistance as needed. The ideal candidate is professional, adaptable, detail-oriented and able to manage multiple priorities in a fast-paced legal environment.
Essential Duties and Responsibilities:
Reception and Front Desk Responsibilities:
- Greet clients, visitors, vendors, and guests in a professional and courteous manner.
- Answer, screen, and direct incoming telephone calls.
- Manage conference room scheduling.
- Provide general information and assistance to callers and visitors.
Legal Administrative Support:
- Provide coverage for legal assistants during absences, vacations, and peak workload periods.
- Provide administrative support to attorneys as assigned
- Assist with time entry, expense reports, and billing support.
- Prepare engagement letters, conflict checks, and other administrative forms.
- Support e-filing and court filing processes as directed.
- Monitor deadlines and assist with scheduling and follow-up activities.
kNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- 3+ years of administrative or secretarial support experience preferred
- E-filing of pleadings in both state and federal courts in Maryland, DC and Virginia.
- High School Diploma or equivalent; associate's degree preferred.
- Knowledge of legal procedures, terminology, and court rules related to litigation.
- Excellent verbal and written communication skills, including comfort and skill in speaking with clients.
- Proficiency in Microsoft Office, with particular expertise in Microsoft Word; experience with document management software (iManage preferred) and other litigation software.
- Typing proficiency.
- Ability to work in a fast-paced litigation environment.
