Job Classification:Assistant Treasurer/Administrative Assistant
(6 hours per day/260 days per year)
Salary & Benefits
•Salary: Commensurate with experience.

Key Responsibilities
•Fiscal & Accounting: Assist the Treasurer with daily fiscal operations. Process accounts receivable, vendor files, payments for district purchases, and the Motor Fuel Tax Refund. Track and resolve NSF checks.
•Payroll & Benefits: Audit hourly timesheets/attendance records and enter them into payroll software. Maintain employee payroll files and process annual salary notices. Assist with benefits administration (enrollment, qualifying events, open enrollment).
•System Management: Track district-wide Fixed Assets (purchases, disposals, transfers). Administer SCView software, including troubleshooting and training staff. Maintain utility, mileage, and diesel tracking in Excel.
•Student & Departmental Support: Manage general accounting and controls for student activity accounts. Invoice other departments/groups for rental events, transportation, and services.
•Compliance & HR Support: Administer District Records Retention. Maintain district-wide background checks. Help HR ensure accurate, Board of Education (BOE) approved employee data. Plan the yearly new employee orientation and transportation meetings.
•Operations: Cross-train within the fiscal department, update policies/procedures manuals, and maintain records according to the Auditor of State and BOE standards.
Qualifications
•Education/Experience: Associate’s degree or equivalent experience required.
•Technical Skills: Experience with Redesign Uniform School Accounting System (USAS/USPS) and SCView software is highly preferred. Proficiency in Microsoft Office (especially Excel) and Google Suite.
•Core Competencies: Strong analytical thinking, high attention to detail, and top-tier organizational skills. Excellent written, verbal, and customer service communication skills.
•Compliance: Ability to maintain strict confidentiality. Must successfully pass BCII and FBI background checks.
•Flexibility: A collaborative team player willing to attend professional development workshops and take on other duties as assigned by the Treasurer or BOE.
