JOB TITLE Administrative Assistant � Multilingual and Multicultural Services
SUMMARY It is the responsibility of this position to provide administrative support to the Director of Multilingual and Multicultural Services and other building administration as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES (other duties and responsibilities may be assigned)
- Serve as a point of contact for multilingual students (ML) and parents.
- Provide both written and oral translation services for Multilingual and Multicultural Program (i.e. student reviews; parent/counselor, parent/nurse, parent/teacher communication; etc.).
- Assist in the implementation of parent meetings.
- Initiate the transcript evaluation for multilingual students (later signed and reviewed by the registrar and administration).
- Verify student residency, guardianship, birth certificate, and demographics sheet for registration process.
- Assist with the student registration processes as directed.
- Assist in maintaining and updating multilingual student (ML) files.
- Manage all requisitions and order all supplies for the Director of Multilingual and Multicultural Services..
- Maintain the multilingual (ML) spreadsheet database.
- Maintain local, State and Federal reports.
- Provide office and clerical support to the administrator overseeing Multilingual and Multicultural services. (i.e, space reservations, filing, calendar management, data entry, record keeping; etc.).
- Assist in the administration of testing of current multilingual (ML) students.
- Coordinate & facilitate incoming multilingual (ML) student appointments with appropriate counselors.
- Prepare enrollment packet for incoming multilingual (ML) students.
- Finalize multilingual (ML) student enrollment.
SUPERVISORY RESPONSIBILITIES
EDUCATION, CERTIFICATION AND EXPERIENCE
- High School Diploma or its equivalent
- Previous clerical experience preferred
- Proficiency with Microsoft Office, and/or Google Suite
SKILLS AND ABILITIES
- Must be able to perform all of the duties and responsibilities of the position.
- Ability to communicate effectively and accurately, both orally and in writing, in English.
- Ability to communicate effectively and accurately, both orally and in writing, in Spanish preferred.
- Ability to establish and maintain effective working relationships with both internal and external constituents.
- Ability to work independently, stay on task, multi-task, and take responsibility to complete assigned projects and duties in a timely and efficient manner.
