JOB DESCRIPTIONThe primary purpose of this Administrative Assistant role is to provide a wide array of administrative support services to both our Akron and Cleveland offices. The incumbent of this role will primarily work in the Akron/Fairlawn office and will regularly work out of the Cleveland office an average of 1 day per week. ESSENTIAL DUTIES AND RESPONSIBILITIES - Provide administrative support to the A&A Department, including but not limited to processing and maintaining financial statements, exit packages, engagement letters, tracking logs and databases, and other reports and/or letters.
- Backup to the administrative scheduler to the A&A department.
- Answer and direct all incoming calls during scheduled rotation.
- Greet visitors and direct to appropriate conference room.
- Maintain Visitor log and Pick Up log.
- Inbound and outbound mail, including deliveries.
- Responsible for all administrative duties in the Cleveland office.
- Backup Tax Processing and client invoicing, if needed.
- Enter disbursements into Practice Management system.
- Monthly credit card reconciliation.
- Responsible for stocking and maintaining all common areas, including the lobby, café, coffee station, conference rooms, copy rooms, and hotel spaces.
- Assist with coordination of firm lunches, including meetings, firm-wide lunches, etc. and related set up and take down.
- All other administrative support services and requested and/or required.
OTHER SKILLS AND ABILITIES - Ability to effectively use Microsoft Office software including Word, Excel, and Outlook.
- Demonstrated ability or willingness to learn and apply AI tools, including Microsoft Copilot and similar platforms, to streamline administrative workflows, enhance productivity, and drive operational efficiency.
- Ability to operate office equipment (telephone, scanners, copiers, etc.).
- Ability to complete work in an efficient and accurate manner.
- Ability to adapt to change.
- Ability to organize work and projects, prioritize and meet deadlines.
- Contribute to a team effort.
- Ability to effectively multi-task.
EDUCATION AND/OR EXPERIENCECollege education preferred, but not required. A minimum of three years’ administrative experience with another CPA Firm or professional services firm is preferred but not required.
