The Executive Assistant relieves the executive of administrative type functions in order to increase the time an executive has available for executive level responsibilities. May handle a wide variety of situations and conflicts involving the clerical and administrative function of the office. Responsible for confidential and time sensitive material. Prepares routine and advanced correspondence including letters, memoranda, and reports. The position relies on experience and judgment to accomplish responsibilities, some creativity, works under minimal supervision, and may lead and direct the work of others. This role is designed for seasoned assistants with familiarity supporting executive, VP-level, leaders in a high-stakes healthcare setting.
• Answer phones, purchase/order supplies, and process mail.
• Manage timekeeping, book travel arrangements, and organize schedules.
• Review and edit executive correspondence.
• Handle special projects as assigned.
• Prepare advanced correspondence and manage confidential materials.
Experience: 4 years in a secretarial or administrative assistant role.
Education: High School diploma or equivalent
Technical Skills and Competencies
• Strong customer service orientation with excellent interpersonal skills and business etiquette/professionalism.
• Proficiency in all Microsoft Office Suite programs, including building and maintaining spreadsheets.
• Effective time management, multitasking, and project coordination.
• Social perceptiveness, critical thinking, executive correspondence proficiency, and judgment/decision-making.
• Skills in monitoring/assessing performance.
