Athletics Administrative Assistant

Job Summary:
The Athletics Administrative Assistant provides administrative and operational support for the athletic department's business functions. This position assists with the day-to-day business operations of the athletic department including, but not limited to, the following tasks.
- Assist with athletic department budgeting, financial tracking, account management, and budget reporting.
- Assist with departmental purchasing, purchase orders, reimbursements, invoices, and payment requests.
- Support coaches and staff with Concur processes, expense reporting, travel reconciliation, and related financial procedures.
- Maintain financial, purchasing, and operational records and assist with budget tracking and reporting.
- Coordinate vendor communications, ordering processes, and account management activities.
- Assist with ticketing and retail operations, including sales tracking, inventory management, and reporting.
- Provide administrative support for departmental events, meetings, and special projects.
- Assist with training and supervision of student workers assigned to ticketing, retail, and office operations.
- Serve as a liaison between athletics and campus offices to support daily business operations.
- Perform other duties as assigned in support of the athletic department. Work effectively with students, student-athletes, administrators, faculty, staff, alumni, vendors, and community members.
Minimum Qualifications:
• Experience with budgeting, financial operations, purchasing, or business administration
• Strong organizational, communication, and interpersonal skills
• Ability to manage multiple projects and operational responsibilities simultaneously
• Proficiency with Microsoft Office and financial or point-of-sale systems
Preferred Qualifications:
• Experience working in collegiate athletics or a comparable environment
• Experience with Concur, ticketing systems, retail operations, or point-of-sale technology
• Knowledge of NAIA or collegiate athletic operations
Clery Act Responsibility:
Employees in this role who have significant responsibility for student or campus activities may be designated as Campus Security Authorities (CSA’s) under the Clery Act and are required to comply with related crime reporting obligations. The employee must complete required CSA training and report Clery-reportable crimes in accordance with federal law and institutional policy.

While performing the duties of this job, the employee is rarely exposed to outside weather conditions; however, possible exposure to hazards and physical risks to personal safety may occur while operating certain equipment. The noise level in the work environment is usually mild.
