Executive Assistant to the CEO

Position Summary
A leading organization is seeking an exceptionally skilled Executive Assistant to the CEO. This is a critical, fully on-site role requiring presence five days per week at our Boston headquarters. This position is ideal for a seasoned professional who has directly supported C-suite executives, preferably at the CEO level, and thrives in fast-paced, high-visibility environments. You will be the CEO's trusted right hand, managing their calendar, communications, and strategic initiatives while maintaining the highest standards of discretion and professionalism. Core Responsibilities
As Executive Assistant to the CEO, you will serve as the primary point of contact for executive communications and scheduling. You will manage the CEO's complex calendar, coordinating meetings with board members, investors, senior leadership, and external stakeholders while ensuring optimal time allocation and strategic prioritization. Your calendar management will require anticipating needs, resolving scheduling conflicts, and maintaining flexibility for urgent matters.
You will handle all executive correspondence, including emails, reports, and confidential communications, ensuring accuracy and appropriate tone. You will draft communications on behalf of the CEO, prepare briefing materials, and organize critical documents for executive review and decision-making.
Additionally, you will coordinate travel arrangements, including flights, accommodations, ground transportation, and itinerary management for both domestic and international trips. You will prepare comprehensive travel briefing documents and manage all logistics seamlessly.
You will support board meetings and executive retreats by organizing materials, managing invitations, preparing agendas, and handling post-meeting follow-up. You will also maintain confidential records and databases, manage expense reports and reimbursements, and coordinate special projects as assigned by the CEO.
This role requires serving as a gatekeeper for executive access, screening calls and emails with judgment and discretion while knowing when urgent matters require immediate escalation.
Must-Have Requirements
You must have a minimum of seven years of executive assistant experience, with at least three years directly supporting a CEO or C-suite executive. Proven experience managing complex, multi-faceted calendars and coordinating high-level executive functions is essential.
You must demonstrate exceptional organizational and time-management skills with meticulous attention to detail. Your written and verbal communication skills must be polished and professional, suitable for executive-level interactions.
You must be proficient in Microsoft Office Suite and calendar management systems, with strong ability to quickly master new software platforms. Experience with project management tools is advantageous.
Discretion, confidentiality, and professional judgment are non-negotiable. You must demonstrate the ability to handle sensitive information appropriately and maintain executive confidentiality at all times.
You must be comfortable working in a fast-paced environment, managing competing priorities, and adapting to changing needs with composure and flexibility. Initiative and proactive problem-solving are critical.
Strong interpersonal skills and the ability to build positive relationships across all organizational levels are required. You must be a self-starter who requires minimal supervision and can anticipate needs before being asked.
Finally, you must be available for a fully on-site position requiring five days per week in our Boston office with no remote work flexibility.
