Position Overview:
Our local non profit client is seeking a Staff Assistant to provide essential administrative support to the organization's team while ensuring a professional, organized, and welcoming environment for member's, partners, and visitors. The ideal candidate is detail-oriented, highly organized, proactive, someone who takes a strong sense of ownership with routine and high-priortity tasks with equal care, attention, and professionalism.
Key Responsibilities:
Administrative and Office Support
Provide professional, welcoming experience for visitors
Manage the organizations general email inbox, phone line, and incoming/outgoing mail
Maintain digital filing systems, database and office records with accuracy and organization
Oversee routine office tasks, including bank deposits
Ensure the office area is clean, organized, and presentable, including restrooms and common areas
Manage office supplies and inventory
Departmental Support
Provide administrative support to the President & CEO
Deliver high quality member care
Provide cross-departmental data entry
Prepare correspondence, forms, and other routine communications as needed
Support the organizations events, including with set-up, check-in, clean up, and attendance tracking
Other duties as assigned
Qualifications, Requirements & Key Attributes:
Experience in administrative, office support, or similar roles
Strong communication skills both written and verbal
Professional discretion with confidential information
Exceptional organizational skills with the ability to manage multiple tasks and meet quick deadlines
Proficiency in Microsoft Office Suite, CRM systems, and virtual meeting platforms (Zoom, Teams)
Familiarity with AI tools (ChatGPT, Copilot, Gemini) is preferred
Ability to work both independently and collaboratively in a fast-paced environment
Ability to comfortably engage with a broad, diverse, business community
Must have a valid driver's license and reliable transportation
Some light physical activity, including event setup and breakdown, and picking up items for office, meetings, and events.
This a long term part time temporary assignment.
