PURPOSE: This position provides primary high-level administrative support to the Chief Business Officer, Chief Marketing + Business Development Officer and Chief Operations Officer. Assist with projects and company initiatives. This individual embodies the culture of Mall of America.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Plan and coordinate all administrative, financial, and operational activities for the Executive team.
Sustain and strategically manage executive daily calendars ensuring alignment with priorities.
Arrange travel, including transportation, hotel, and any special needs in the U.S. / International.
Assist in managing the flow of information and ideas between the Executive team to leadership ensuring visibility and alignment across departments.
Coordinate and support meetings including scheduling, room setup, food and beverage arrangements, and gift coordination for guests as needed.
Facilitate guest and VIP passes, manage donation requests, and coordinate VIP invitations and events to ensure a seamless and elevated experience.
Assist in annual strategic planning process, budgeting and tracking results for the company.
Design and produce high-quality presentation decks for monthly marketing recaps, quarterly tenant and employee meetings, speaking engagements, project proposals and executive and strategic partnership materials.
Work collaboratively across departments to build strong cross-functional relationships, identify opportunities and support shared goals and initiatives.
Stay current on trends, news, and innovations across the retail, entertainment, and hospitality industries; bring a curious, proactive mindset to identifying ideas that keep MOA relevant and ahead of the curve.
Work on cross-functional, company-wide projects or special initiatives; bring together important stakeholders and help drive decisions.
Support popup retail activations and serve as a liaison with the merchandise team to operationalize temporary store concepts and in-mall retail experiences.
Complete ad hoc projects as assigned, such as ownership community engagement and/or ownership personal tasks.
PREFERRED SKILLS, KNOWLEDGE AND ABILITIES:
1-2 years of professional office administrative experience preferred.
1-2 years of experience in project coordination.
