The role of the Exeuctive Assistant is to deliver high-level administrative support by executing diverse tasks, including conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. Additionally, prepare and compile a range of insurance-related documents following agency procedures and utilizing various electronic systems.
Performance Expectations/Responsibilities
- Proficient in verbal communication for effective interactions both on the telephone and in person.
- Organizes travel, accommodation, itineraries, and related correspondence as needed.
- Coordinates scheduling of conference rooms for meetings/appointments.
- Plans, organizes, and implements events such as meetings, business luncheons, or client dinners.
- Manages executive schedules and acts as a liaison for the executive team.
- Prepares reports, presentations, and data, while maintaining files, records, and correspondence for meetings.
- Handles confidential information and organizes/maintains files.
- Prepares information and research for executive needs.
- Assists in planning company events, meetings, employee team-building activities, or special projects.
- Maintains CEO and agency licenses.
- Assists the corporate acquisition team with the details and transition of new acquisitions.
- Works with the CEO in managing advertisement and sponsorship requests.
- Responsible for all carrier communications, meetings, and tracking appointments.
- Performs clerical duties necessary for the proper functioning of the agency's office and business (e.g., delivering messages, updating lists, records, etc.).
- Demonstrates the ability to complete work assignments timely and effectively, making proper decisions within a degree of independent thought and action through established procedures and processes.
Compensation & Benefits
- $57,000 – $62,000 annually

Education/Training Requirements
- Bachelor’s degree in business administration or related field, or equivalent related experience.
- IAAP Certified Administrative Professional (CAP) or professional certification in office management is preferred but not required.
- Proficiency in computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments and updating calendars is a necessity.
- Possession of a valid driver’s license and a safe driving record is preferred.
Work Environment/Physical Demands
- Extended periods of sitting at a desk while using a computer and other office equipment.
- Repetitive motion tasks, such as typing, data entry, and phone use.
- Occasional lifting of files or other materials, typically weighing up to 20 pounds.
- Ability to move freely around the office space to collaborate with colleagues or access office resources.
- Visual acuity to read documents, screens, and fine print on documents.
- Manual dexterity to operate office equipment and handle paperwork efficiently.
- Ability to maintain focus and attention to detail in a sometimes fast paced and multitasking environment.
- The office environment typically has a moderate noise level consistent with a professional office setting.
- Some travel may be required for this position, primarily for attending training sessions, conferences, or meetings with clients or stakeholders. A valid driver's license and reliable transportation may be necessary for travel to off-site locations.
