Offit Kurman is seeking a proactive, detail-oriented Legal Administrative Assistant to support a four-attorney Estates & Trusts practice. The ideal candidate will possess a strong background in probate and trust administration, estate planning support, and trust & estate litigation. This role requires a candidate who can effectively balance litigation support responsibilities with transactional estate planning and trust administration work while providing exceptional client service.
Manage complex calendars, court deadlines, and scheduling for probate, trust litigation, and estate planning matters.
Prepare, format, proofread, and file litigation documents, including petitions, motions, notices of hearings, pleadings, correspondence, and court-required forms.
Handle state court e-filing and electronic service for probate and trust litigation matters, ensuring compliance with local court rules and filing procedures.
Coordinate hearing logistics, maintain hearing calendars, and prepare and file notices of hearings and related court documents.
Support probate and trust administration matters by preparing fiduciary correspondence, probate pleadings, inventories, accountings, and related documentation.
Assist with estate planning matters, including assembling and organizing estate planning portfolios, binders, and client deliverables.
Prepare and coordinate deed transfers, real property conveyance documents, trust funding documentation, and related recording requirements.
Maintain and organize electronic and physical client files, ensuring accurate document management and matter organization.
Communicate professionally with clients, beneficiaries, fiduciaries, courts, title companies, financial institutions, and opposing counsel.
Assist attorneys with trial, mediation, and hearing preparation, including exhibit preparation, hearing binders, witness materials, and case organization.
Coordinate client meetings, document execution appointments, notarizations, and follow-up communications.
Support matter intake, conflict checks, and administrative functions as needed.
5+ years of legal administrative experience, preferably within an Estates & Trusts practice.
Significant experience supporting probate, trust administration, and estate planning matters.
Strong trust and estate litigation experience, including preparation and filing of probate court pleadings and notices of hearings.
Experience with state court e-filing systems and electronic service procedures.
Familiarity with probate court procedures, fiduciary administration, and contested trust and estate matters.
Experience preparing estate planning portfolios and supporting trust funding efforts.
Knowledge of deed preparation, recording requirements, and real property transfers.
Active Notary Public Commission preferred.
Proficiency with Microsoft Office Suite and legal practice management systems.
Exceptional organizational skills with the ability to manage multiple attorneys, competing priorities, and deadline-driven work.
Strong written and verbal communication skills with a professional and client-service-oriented demeanor.
Ability to work independently while collaborating effectively within a team environment.
