Location: New York, NY
Duration: 2-Year Contract
Schedule: 37.5 Hours per Week (Monday-Friday)
Hours: Flexible between 8:00 AM - 5:00 PM
Work Arrangement: On-site with potential hybrid/remote options to be discussed during the interview process
Pay Rate Range: $22 - $31 per hr. based on experience
Position Overview
The Office of General Counsel (OGC) is seeking a highly organized and detail-oriented Legal Secretary/Legal Assistant to provide comprehensive legal and administrative support to the General Counsel, Deputy Counsels, Associate Counsels, and other legal staff. This position works closely with attorneys and administrative personnel in handling a broad range of legal, litigation, research, and case management activities.
The successful candidate will assist with the preparation and management of legal documents, court filings, case tracking, legal research, litigation support, and confidential legal matters. This role requires exceptional organizational skills, the ability to manage multiple priorities, and a commitment to maintaining the highest level of confidentiality and professionalism.
Key Responsibilities
Legal and Litigation Support
- Prepare correspondence and assemble all relevant case materials for litigation matters in state and federal courts.
- Assist attorneys with the preparation and filing of legal documents, pleadings, motions, memoranda, and other court submissions.
- Draft legal documents and correspondence for attorney review and approval.
- Prepare subpoenas and coordinate service of process.
- Arrange for the filing and service of legal memoranda and other legal papers.
- Maintain litigation files and ensure all case materials are complete, accurate, and properly organized.
Case Management and Administration
- Maintain legal databases, case tracking systems, and document management systems.
- Prepare and maintain case files, calendars, and docket records.
- Monitor litigation deadlines, court schedules, filing requirements, and final case decisions.
- Compile, organize, and maintain court records, legal documents, and supporting materials.
- Assist attorneys with obtaining and organizing resources, exhibits, and supporting documentation.
Legal Research and Analysis
- Conduct legal and factual research on a variety of complex legal matters.
- Review, analyze, and summarize legal materials, statutes, regulations, case law, and other relevant information.
- Present findings through written summaries and verbal reports to attorneys and legal staff.
E-Discovery and Records Management
- Prepare litigation hold notices and assist with legal hold management.
- Support e-discovery processes, including document collection, organization, review coordination, and records management.
- Assist with document retention and production requests in accordance with legal and agency requirements.
Confidential and Executive Support
- Provide administrative and legal support to the General Counsel, Deputy Counsels, and Associate Counsels.
- Handle confidential legal matters and sensitive information with discretion and professionalism.
- Assist with special projects and other duties as assigned.
Required Qualifications
- Associate degree and/or equivalent combination of education and relevant legal support experience.
- Experience supporting attorneys, legal departments, government agencies, or law firms.
- Knowledge of legal terminology, legal documentation, court procedures, and litigation support practices.
- Experience preparing legal correspondence, subpoenas, court filings, and case-related documents.
- Strong research, analytical, organizational, and problem-solving skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Ability to manage multiple assignments, prioritize workload, and meet strict deadlines.
- Ability to maintain confidentiality and exercise sound judgment in handling sensitive matters.
Preferred Qualifications
- Experience working within a government legal office, public sector agency, or corporate legal department.
- Familiarity with state and federal court filing procedures.
- Experience with case management systems, e-discovery platforms, and legal document management software.
- Paralegal coursework, certification, or related legal training.
