Position Overview
Solar Maintenance Pros is seeking an organized and dependable Office Manager to oversee the daily operations of our Bakersfield office. This position serves as the administrative leader for the Bakersfield location while providing customer service and project coordination support to the Operations and Project Management teams based at our Fresno headquarters.
The ideal candidate is highly organized, customer-focused, and capable of managing office operations independently while maintaining strong communication with corporate leadership and project teams.
Primary Responsibilities
Office Management (Primary Function)
- Manage all day-to-day operations of the Bakersfield office.
- Maintain a professional, organized, and efficient office environment.
- Serve as the primary administrative liaison between the Bakersfield office and Fresno headquarters.
- Manage office supplies, equipment, vendors, and facility needs.
- Maintain employee files, project records, permits, and company documentation.
- Support hiring, onboarding, payroll administration, and compliance reporting as directed by headquarters.
- Prepare weekly office activity and operational reports.
- Assist leadership with administrative and operational initiatives.
Customer Service Support (Supporting Fresno Operations)
- Serve as a local customer contact for incoming calls, emails, and service requests.
- Support the Fresno customer service team by handling customer communications and follow-up activities.
- Schedule consultations, site visits, inspections, and service appointments.
- Provide customers with project updates as directed by project managers.
- Escalate customer concerns to the appropriate department and assist with resolution tracking.
- Maintain customer records and communication logs within company software systems.
Project Coordination Support (Supporting Fresno Project Management Team)
- Provide administrative support to Fresno-based Project Managers and Operations personnel.
- Assist with permit applications, inspection scheduling, and utility paperwork.
- Track project documentation and maintain accurate project files.
- Coordinate communication between customers, field crews, subcontractors, and headquarters staff.
- Monitor project milestones and update project management systems.
- Assist with material delivery coordination and procurement tracking.
- Support project closeout documentation and final paperwork collection.
Solar & Construction Administrative Support (Supporting Fresno Administration)
- Process permit packages and solar-related documentation.
- Assist with utility interconnection applications and inspection scheduling.
- Maintain compliance records and project documentation requirements.
- Support rebate, financing, and incentive program administration.
- Coordinate with AHJs, utilities, vendors, and inspection agencies as needed.
