Job Description
The Executive Assistant, under general direction, performs varied, complex, and confidential administrative and office support to the Vice President for Human Resources, Risk and Compliance and to the entire division as needed and requested. This position prepares, maintains, and administers complex administrative reports, budgets, contracts, and records (both electronic and paper) in accordance with departmental and college procedures; conducts research and provides briefings of results, serves as liaison between the executive and internal and external constituencies at all levels of the College and other organizations; and is required to maintain the highest degrees of integrity and trust. Duties include, but are not limited to: Performing initial contract evaluation to ensure all documents necessary to complete a review are included, ensuring accurate terms and conditions are incorporated, and coordinating further reviews as necessary Independently researching applicable regulations, policies, and guidance documents for contract management issues Maintaining contractual records and documentation Coordinating department budget tracking and reconciliation processes, including creating and processing contracts, agreements, invoices, and requisitions, and developing budget reports as needed Drafting, editing, revising, proofing, and routing a variety of documents including policies, reports, highly confidential correspondence, memoranda, contracts, and proposals ranging from routine to complex Managing projects Developing meeting agendas, attending meetings, and taking notes Assisting with special events and meeting logistics Developing and implementing processes to increase efficiency, including systems and process changes; specifically, assisting with developing a contract management system for reporting and tracking start/end dates, renewals, terminations, contract compliance issues, and contract terminations completions Performing other duties as assigned by the supervisor This is an exempt, professional staff position reporting to the Vice President for Human Resource, Risk & Compliance. Employees of Harford Community College, including instructors for online and virtual courses, must be residents of Maryland or the contiguous states of Delaware, Pennsylvania, Virginia, West Virginia or the District of Columbia; non-residents are expected to relocate to meet this requirement.
Preferred Qualifications
Bachelor’s degree General Human Resources knowledge/coursework or previous Human Resources work experience Previous experience with budgets and contract administration/contract law or legal support
Required Experience
Minimum of five years of experience providing administrative support to leadership personnel is required, to include: experience preparing for and reporting on senior/board-level meetings, from agenda to minutes experience drafting and monitoring budgets experience editing Web pages experience handling sensitive material and maintaining confidentiality
