Pay Grade: 63 ($3,030.00 - $3, 235.00)
General Statement of Job:
The Administrative Assistant performs a wide range of clerical, administrative, and office support activities to facilitate the efficient operation of the department. This position functions as the primary support to the Director of the Department of Media and Technology and involves purchasing, sending and receiving correspondence, screening and independently handling a variety of routine inquiries by telephone and in person, and maintaining a variety of records and files. Work also involves assimilating information from a variety of sources, including confidential data, to generate reports and provide information. This employee reports to the Director of Media and Technology.
Specific Duties and Responsibilities:
- Maintain a current knowledge of appropriate school district policies, processes, and procedures in an effort to assure the efficiency and the integrity of the office of Media and Technology
- Process and maintain purchase orders and payments relating to purchases of technology items and office supplies by the department
- Maintain spreadsheets and provide reports
- Request quotes from vendors for new equipment and repair parts, and select the most cost-effective quote for all technology purchases for the entire school system
- Maintain fixed asset information for all purchases made by the technology department
- Purchase, maintain, and inventory district issued cell phones, mobile air cards, and cell accessories
- Create and maintain files of records and documentation needed for the Erate program
- Other duties as assigned by the Director of Media and Technology
Minimum Training and Experience:
- High school diploma. Associate’s Degree preferred, but not required. Experience with Microsoft Office applications, and two or more years of clerical experience or any equivalent combination of training and experience which provides the required skills, knowledge, and abilities
Minimum Qualifications or Standards Required to Perform Essential Job Functions:
- Physically able to operate a variety of equipment and tools including computers, copiers, calculators, scanners, computer software, etc.; ability to exert up to 10 pounds of force occasionally and/or up to 5 pounds of force frequently
- Ability to read a variety of correspondence, reports, handbooks, forms, lists, etc.; ability to prepare correspondence, simple reports, forms, etc., using prescribed format
- Ability to record and deliver information, explain procedures, and give oral and written instructions
- Ability to establish and maintain effective working relationships as necessitated by work assignments
- Ability to speak to people with poise, voice control and confidence
Other Requirements:
- Maintain an acceptable attendance record and be punctual
