SUMMARY
The Catering Administrative Assistant plays a vital role within Catering/Conference Services, assisting in various administrative tasks. This position will be handling administrative tasks, coordinating schedules, arranging payments for future events, maintaining a smooth operation amongst the department and support Managers in daily tasks.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Handles daily administrative duties including: scheduling, billing/payment, reports, BEO Book review, Resume distribution and contract distribution.
- Takes detailed inquiries received and submits to the appropriate Sales Manager.
- Types and distributes all correspondence, proposals, contracts for assigned Managers.
- Maintains Sales Kits and Menus for clients.
- Input amenities into Alice for VIP Clients and processes paperwork.
- Assists in coordination of site inspections and VIP Requests.
- Performs other duties as assigned.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
- Preferably 2-3 years of hospitality or F&B Industry.
- Strong organizational, time management and multi-tasking abilities.
- Excellent communication skills with guests, staff and management.
- High level of accuracy and attention to detail in all tasks.
- Proficiency in MS Office 365, Excel. Amadeus/Delphi and Opera software is preferred.
LANGUAGE SKILLS
- Ability to read and comprehend simple instructions, short correspondence, and memos in English and respond in writing
- Ability to read and interpret general business document or governmental regulations.
- Ability to effectively present information and respond to questions from groups of managers and associates.
