Position Purpose
Responsible for supporting the Principal and the high school by performing high-level administrative functions. This role acts as a primary liaison between the Principal and the community, coordinates school operations, manages office schedules, oversees staff attendance and substitute coverage, processes payroll/HR paperwork, and maintains confidential records.
Essential Duties
- Administrative Liaison: Act as the primary contact between the Principal and students, parents, staff, Human Resources, and the public. Screen calls/visitors, provide building tours, and assist teachers with requests.
- Office Coordination: Assign and manage phone duty and lunch schedules for office staff (administrative assistants, bookkeepers, and receptionists).
- Staff Attendance & Substitutes: Monitor and report licensed and classified staff absences via LARS. Coordinate substitute teachers by checking them in, providing room keys/lesson plans, and assisting them throughout the day.
- Calendar & Inventory Management: Manage the Principal's calendar and scheduling. Maintain supply inventory, submit purchase orders, and request equipment repairs.
- Communications & Mailings: Collect, edit, and proofread school newsletters and articles. Coordinate all school mailings (newsletters, parent guides, etc.) and generate mailing labels.
- Event Coordination: Organize and support school events such as graduation, award ceremonies, catering, teacher in-service days, and athletic/academic league meetings.
- Open Enrollment: Prepare parent/student application materials, meet with applicants, mail decision letters, and compile data for the Guidance Center.
- Payroll Processing: Collect and verify classified staff timesheets. Input hours, pay codes, and rates into the payroll system, and maintain legal payroll records for the building.
- HR Support & Evaluations: Prepare Human Resources paperwork (ECNs, interview forms, reference checks). Prepare confidential employee evaluations for the Principal, track completion, and maintain secure, on-site personnel files.
- Data Records Management: Build and maintain school databases, department records, and staff directories.
- Other Duties: Perform additional operational tasks as assigned.
Education/Certification
- High school diploma or equivalent, plus courses in office management and computer skills preferred.
- Criminal background check required for hire.
Experience
- Over two and up to five years of experience in progressively responsible educational admin assistant positions preferred, including experience in meeting the public.
- Bookkeeping experience preferred
225 workdays/year; 40 hours/week (Classified Calendar)
Starting pay, Grade 7 at $24.75/hour (Classified Salary Schedule)
