DescriptionWorks independently to provide administrative support for Director, Division Manager, and/or Manager. Supports special projects and functions of the area.
Responsibilities
- Composes and maintains correspondence, memoranda, meeting minutes, and related material.
- Composes clear and accurate communication of both routine and non-routine nature from dictation, verbal direction, or from knowledge of hospital policy and procedure.
- Serves as recording secretary for various committees and provides clerical support. Records, types, and distributes minutes as directed.
- Schedules manager's appointments and makes travel arrangements as required.
- Maintains appointments for the manager and ensures the appointments are posted on his/her calendar.
- Makes all necessary travel arrangements for the assigned areas, including registration for seminars/workshops and filing expense reports per policy.
- Coordinates meetings by coordinating schedules, reserving rooms, and ordering supplies. Ensures completion within the time frame established.
- Supports special projects and functions of the area.
- Collects data from several sources, verifying accuracy of data, and then compiling information and reports in an easy to understand or read format.
- Assists with special projects within identified deadlines with minimal directions.
- Coordinates the administrative activities of the area.
- Maintains manager's individual files in a manner which renders them easily retrievable.
- Advises/reminds manager of individual division/department/area needs when appropriate.
- Safeguards confidential information.
Qualifications
Required Qualifications:
Education: High school diploma or equivalent; accredited secretarial course or equivalent experience.
Licensure: N/A
Experience: Minimum three (3) years of secretarial experience.
Skills, Knowledge, Abilities: Ability to transcribe via dictation equipment or meetings in progress. Ability to use a personal computer (word processing and spreadsheet application). Ability to communicate effectively.
Preferred Qualifications:
Education: College courses in secretarial science.
Licensure: N/A
Experience: Previous experience in a human resources department or healthcare setting.
Skills, Knowledge, Abilities: Ability to use Microsoft Applications.
