The Administrative Assistant performs a wide range of duties in support of the efficient and effective operation of the Human Resources Department. The Administrative Assistant supports the Chief Human Resources Officer while engaging in complex administrative tasks and may have access to confidential and sensitive information.
This is a full-time, non-union, exempt position. The salary range for this position is $70,000 - $85,000. This is a hybrid position with an in-office schedule of 2-3 days per week
Responsibilities:
Interact with staff across the library system, including executive management team members and their support staff
First point of contact for inquiries to the department from vendors and external stakeholders
Screen incoming calls and respond independently to routine matters across various channels
Manage the calendar for the CHRO and coordinate team-wide meetings and events
Manage visitor traffic for the CHRO
Provide support to teams within the department as assigned
Monitor department budget and procurement processes using acceptable library practices and tools; Reconcile department expenses monthly; Provide billing support for the Benefits team
Prepare reports, presentations, surveys, draft correspondence, and take minutes for meetings
Maintains departmental intranet web pages, ensuring information and resources are up-to-date and accurate
Provide support for the exit interview process
Serve as project manager for select initiatives
Maintain office supplies, materials, and provisions for the Human Resources department
Prioritize and manage multiple assignments simultaneously and follow through on issues in a timely manner
Other duties as assigned
Qualifications:
Bachelor’s Degree or some college preferred
3 years of administrative support experience on a human resources team in a complex organization
Exceptional writing, editing, and proofreading skills required
Excellent organizational, interpersonal, and relationship management skills
Experience using and creating with MS Office and possess an interest in learning modern technologies or applications
Ability to multitask effectively and to adapt to changing and competing needs
Demonstrated ability to provide outstanding customer service
Ability to be self-directed and to work successfully as a member of a team
Strong analytical skills and comfort working with and manipulating numbers
Willingness to take initiative and seek out new assignments and projects
Demonstrated interest in libraries or Human Resources
Experience using Workday is a plus
