Primary duties and responsibilities will include, but are not limited to:
Provide executive‑level support to senior leaders, including calendar management, meeting coordination, travel arrangements, and preparation of materials and presentations.
Serve as a primary point of contact for clients, prospects, and colleagues, ensuring timely, professional communication and maintaining strict confidentiality.
Manage Salesforce entries and reporting, including contacts, activities, opportunities, and basic support for colleagues in the Nashville office.
Coordinate internal and external events, including scheduling, catering, logistics, and vendor relationships.
Support office operations such as mail and check processing, food service oversight, and maintaining organized action‑item lists with regular status updates.
Assist with onboarding new team members by scheduling introductions and integrating them into team routines.
Track key projects and deliverables, follow up with stakeholders, and support special initiatives, proposals, and process improvements.
Build strong working relationships across teams and proactively identify opportunities to support colleagues and enhance team efficiency.
Qualifications:
Minimum of 3+ years of administrative support experience; experience supporting senior leaders preferred.
Bachelor’s degree preferred.
Advanced Microsoft Office skills (Word, Excel, PowerPoint) and the ability to learn firm‑specific systems, including Salesforce.
Superior written and verbal communication skills.
Strong organizational skills with exceptional attention to detail.
A proactive, adaptable, and resourceful mindset with a desire to continuously improve processes.
Ability to work independently, follow tasks through to completion, and seek guidance when needed.
Professional maturity, discretion, and sound judgment in handling sensitive and confidential information.
Ability to work full‑time in the Nashville office.
