FUNCTION: Supports the department's daily operations by handling administrative tasks, managing schedules, and coordinating events. Key duties include answering phones, managing correspondence and files, assisting with budgets and inventory, and liaising between management and staff to ensure smooth and efficient operations. Ensures that all support and service is conducted and fulfilled in a manner consistent with the ONE BRAYS Leadership Credo.
DUTIES AND RESPONSIBILITIES:
- Answer phones, take messages, type correspondence, and handle general office duties.
- Schedule meetings and coordinate events.
- Liaison with event planning and owner services departments as needed.
- Maintain files, records, and databases; track expenditures and budget status
- Act as a liaison between management and staff, respond to guest comments, and manage communications flow.
- Assist with inventory management and purchasing processes.
- Type menus, place cards, and other documents as needed.
- Provides exceptional customer service to owners, guests and internal and external partners.
- Other duties as assigned.
PHYSICAL REQUIREMENTS:
- Capable of working extended hours, to include weekends and holidays as necessary.
- Able to see well enough to read faint or partially obscured writing or printing, with corrective lenses if needed.
- Must be able to speak English in a clear and understandable voice so that various types of communications may be conducted with people of various levels of education and capabilities, to include the exchange and receipt of information over the telephone.
- Position involves sitting, standing, and/or movement throughout the day. Must be able to transport oneself not only around the office, but also around the plantation.
- Must be physically and intellectually capable of operating a personal computer, printer, facsimile machine, dictating machine, telephone, and various other business equipment items.
- Duties of maintaining files and records will involve stooping, bending, lifting, pushing, pulling or otherwise moving objects weighing as much as 45 lbs. This type of activity may occur several times throughout the day.
- Must be able to interact with all types of individuals, be mentally alert, detail oriented, and with good reasoning skills.
ENVIRONMENTAL REQUIREMENTS:
- Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays. Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances.
- Must be able to work effectively and cheerfully in an environment which may be stressful due to adversarial situations resulting from the proper performance of duties.
EDUCATION AND EXPERIENCE:
- High school graduate or equivalent, with emphasis in administrative skills. Minimum 3 years’ experience as an executive secretary, or office manager.
- Highly effective interpersonal skills, problem solving abilities, and advanced communication skills required. Must possess strong oral and written communication skills.
- High energy and a proactive mindset are a must for this role.
- Excellent typing skills (accuracy and speed) required. Knowledge of Word, Excel, and other Microsoft Office software necessary.
- Loyalty and a respect for confidentiality a must for this position.
- Previous experience in an administrative role is essential, preferably within the hospitality or food & beverage industry.
- Appearance, mannerism, and presentation must be highly professional.
