POSITION DESCRIPTIONPOSITION TITLE: Business Office ManagerREPORTS TO: Nursing Home AdministratorDEPARTMENT: Business OfficeThe primary responsibility of your job position is to direct the overall administrative activities following current federal, state and local standards, guidelines and regulations that govern long term care and assisted living facilities. You are entrusted to assure that proper administrative procedures are maintained at all times.KEY RESPONSIBILITIES:Billing and Collections: 30% timePrepare financial and statistical reports, as directedPrepare and mail monthly statements timelyMaintain electronic and hard copy billing records for all payer sourcesMaintain Medicaid billing records for 5615’s - alphabetically, by yearMonitor and collect Accounts Receivables reporting delinquent accounts to the Nursing Home AdministratorMaintain and reconcile census daily and monthly in softwareRecord payments received to appropriate cash receipt journalsPost payments received to appropriate resident’s accountsPrepare and mail monthly statements timelyReconcile bank statements monthly Close AR software in accordance to Vivage time framePrepare financial and statistical reports, as directedOversight of Business Office document archivesSubmit claims for all payer types accurately and timely in accordance to Vivage policy/protocol, and in compliance with all state and federal regulationsImplement written Vivage Policies and Procedures that govern the accounting functions of the facilityParticipate in daily/weekly/monthly triple check process for Medicare and Managed Care resident claimsMedicaid Applications: 25% time Oversight work with technicians Monitor and track Medicaid Pending applications and re-determinations, assisting residents and familiesCollaborative: 25% time Direct and coordinate the functions and activities of the business officeInvolved with residents, personnel, visitors, government agencies/personnel, etc., under all conditions and circumstancesCommunicates effectively with facility staff and department supervisorsWorks well with families, residents, peers and staffOversight of business office document archive Perform all other duties as assignedResident Trust Oversight: 20% timeProvide oversight of Resident Trust account per regulations and company policyProvide each resident with a quarterly accounting of funds managed by the facilityComply with all State and Federal regulationsTALENT:ExecutingSelf-directed, proactive, independent workerAbility to organize and prioritizeAbility to exercise judgment and display understanding through applicationDetail oriented and accurate follow throughStrategic ThinkingSolve problems effectivelyCreative in coming up with options and varietyAble to ask great questionsCuriosity and desire to learnAnalyticalRelationship BuildingDemonstrate friendliness and enthusiasmBuild and manage relationships with all types of peopleAbility to foster teamworkInfluencingCommunicates clearly and effectivelySKILLS AND KNOWLEDGE:Skills: Google and Microsoft operating platformsKnowledge: Laws, regulations, and guidelines pertaining to hospital and nursing facility administrative procedures; Medicare, Medicaid and insurance processesEDUCATION AND EXPERIENCE:Education: Must possess, as a minimum, a high school diploma (Associates Degree in Business Administration preferred)Experience: At least 1-3 years’ experience of nursing home business office functions; bookkeeping, basic accounting functions and bank reconciliations (industry experience preferred)PHYSICAL REQUIREMENTS:Works in facility and is required to stand, walk, sit, use hands and fingers, handle or feel objects, tools or controls, reach with hands and arms, climb stairs, balance, stoop, kneel, crouch, talk and hearMust be able to push, pull, move, and /or lift a minimum of 25# to a minimum height of 5 feet and be able to push, pull, move, and/or carry such weight a minimum distance of 50 feet OTHER:All information will be kept confidential according to EEO guidelinesTravel required in personal or company vehicleMust maintain a valid, unrestricted Colorado driver’s licenseProof of COVID vaccination or qualifying exemption required
