Position Summary
We are seeking a PPECC Administrative Assistant to support the daily operations of our Prescribed Pediatric Extended Care Center (PPECC). This position provides clerical, organizational, and communication support to ensure efficient center operations while creating a welcoming environment for patients, families, and staff. Full-Time and Part-Time opportunities available.
May include interaction with medically fragile children, nursing staff, therapy teams, and family members in a fast-paced pediatric healthcare setting
Schedule
Monday–Friday, with shifts scheduled between 7:00am–6:00pm
Occasional extended hours or weekend marketing events as needed
Major Responsibilities
• Greet families, staff, and visitors in a professional and welcoming manner
• Answer phones, route calls, and respond to messages appropriately
• Maintain and organize patient records and administrative documentation
• Assist with daily census tracking and attendance logs
• Support staff scheduling and communicate schedule updates to management
• Track employee training documentation and compliance deadlines
• Monitor office inventory and assist with ordering supplies
• Prepare reports, letters, and administrative documents as directed
• Support licensing audits, surveys, and compliance readiness activities
• Maintain confidentiality of patient and employee information in accordance with HIPAA
• Assist with center events and approved weekend marketing activities
• Maintain a clean, organized, and efficient front office environment
Qualifications
• High School Diploma or GED required
• 1–2 years of administrative experience preferred
• Experience in healthcare, pediatric, or childcare setting strongly preferred
• Proficiency in Microsoft Office and/or EMR systems
• Strong organizational, communication, and multitasking skills
• Ability to maintain professionalism and confidentiality in a healthcare setting
• Ability to work independently and as part of a team
• Must pass background check and misconduct registry screening
• Must complete required immunizations and TB screening
