Job Summary
The Executive Assistant for the Vice President for Development and Alumni Relations is responsible for performing a multitude of administrative duties and task-oriented projects. Provide oversight and guidance to select projects, office management, calendars and budget. Maintain professional working relationships with the internal and external university community.
Essential Duties And Responsibilities
Manage and coordinate the calendar for the business unit leader, schedule meetings, take minutes, and arrange travel. Answer calls and welcome visitors, make appointments, provide information when appropriate. Maintain and reconcile budget/financial statements and personnel transactions, requisitions, ProCards, student time, inventory and asset management, staff vacation and sick leave, annual space inventory and key audit according to established policies and deadlines. Manage project and event deadlines and communications for the administrative office. Coordinate catering, meeting logistics and agendas for events, staff meetings and luncheons. Compose briefings and correspondence. Proofread documents for review and/or official signature. Handle confidential and sensitive materials and conduct related research as necessary. Manages inquiries directed to the business unit leader; determines the proper course of action and collaborates with the appropriate individual(s) to formulate the responses. Retain files according to records retention policy. Maintain Student schedules. Order supplies and office equipment. Submit maintenance/help desk requests as needed. Process forms for recruitment, appointments, position changes, leave requests and terminations in PeopleAdmin. Performs other duties assigned. Other duties as assigned.
Minimum Qualifications
Associate degree Five (5) years of increasingly responsible administrative experience, supervisory experience, knowledge of digital tools and office software applications, and demonstrated financial understanding of budget management An equivalent mix of education and relevant experience in similar roles may also be accepted.
Preferred Qualifications
Bachelor’s degree or equivalent with more than Five (5) years of increasingly responsible administrative experience, knowledge of digital tools, and other office software applications and demonstrated financial understanding of budget management. Experience with PeopleSoft/UT Share.
Work Schedule
Monday-Friday; 8:00am-5:00pm May require occasional travel, evening, and weekend duties.
