Position Overview
We are seeking a highly organized, proactive, and personable Administrative Office Manager to become the operational heartbeat of a busy real estate brokerage office.
This role is ideal for someone who thrives in a fast-paced environment, enjoys owning a space, and naturally takes initiative without needing constant direction. You will serve as the front-facing point of communication for the office while helping keep schedules, communication, listings, and day-to-day operations running smoothly.
The ideal candidate is warm yet assertive, highly detail-oriented, emotionally intuitive, and capable of juggling multiple moving pieces calmly and efficiently. This is a hands-on role for someone who genuinely enjoys keeping things organized, handled, and moving forward.
Requirements
- Previous office administration, executive assistant, or office management experience
- Strong multitasking and organizational abilities
- Ability to work independently and take ownership of responsibilities
- Excellent communication skills, both written and verbal
- Comfortable handling phone calls, WhatsApp communication, scheduling, and follow-through
- Highly responsive, detail-oriented, and proactive
- Strong emotional intelligence and professionalism
- Pleasant demeanor with the ability to act as a gatekeeper when needed
- Comfortable in a busy, fast-moving office environment
- Strong punctuality and reliability
- Comfortable learning systems and following structured processes/training
Key Responsibilities
- Serve as the front-facing administrative point person for the office
- Answer and manage incoming calls, emails, WhatsApps, and general communication
- Manage calendars, scheduling, confirmations, and appointment coordination
- Coordinate property showings, open houses, and listing-related logistics
- Assist with weekly office operations and administrative follow-through
- Help ensure the office space remains organized, functional, and running smoothly
- Communicate updates and recap information to the internal team
- Act as a gatekeeper and help streamline communication for leadership
- Identify tasks that need attention and proactively handle them without being asked
- Support agents and internal staff with administrative coordination as needed
