Summary description: Primary office secretary responsible for the organization, management, completion of tasks, cleanliness, and day-to-day operation of the front office.
Primary responsibilities:
- Primary contact for MS/HS department office visits and phone calls
- Deliver or assign personnel to deliver messages either via phone intercom or personally to classroom or individual
- Organize the schedule and communicate the details regarding Parent/Teacher Conferences for 6th-12th Grade
- Check/collect weekly lesson plans for completion, standards, etc.
- Check grades and make sure grades are submitted by report card dates
- Oversee Report Cards and Failing Lists
- Create and distribute monthly rotation calendars
- Monitor ProgressBook for set-up, timely entries, assignment posting, etc.
- Gather testing materials prior to testing months and distribute during testing months
- Order Instructional Supplies on a department-wide basis (zipper binders, student planners, House bandanas, headphones, etc)
- Maintain RISE Board
- Assist with planning student events (ie, Merit Day, Assemblies, etc.)
- Facilitate the Middle School House Program (tracking points, updating scores, planning House parties)
- Assist with staff meetings (meeting notes, etc)
- Prepare all student awards quarterly
- Facilitate school-wide morning announcements
- Manage the use of Classroom Budgets and purchasing of items for MS/HS teachers
- Maintain inventory of upstairs teacher’s lounge supplies and restock when necessary
- Email information updates and other pertinent information to Business Office, Administration, and staff
- Assist administration with events and upcoming tasks
- Assist with compiling MS/HS monthly newsletters
- Maintain a neat and organized office area for a professional appearance
Student Services Items
- Schedule IEP, 504, ETR, etc. meetings
- Schedule school psychologist evaluations
- Review 504’s on a biannual basis
- Double-check paperwork and track of deadlines
- Run reports for compliance and other reporting as needed
- Ordering of SPED/ELL materials and tracking budgets
- Track what testing needs to be completed
- Organizing/filing/scanning paperwork
- Gather testing materials and assign students/staff small group state testing
Professional Development
- Observe and collaborate with others in your area of specialization
- Attend professional development opportunities throughout the school year or summer for your continuous improvement
- Reflect and self-evaluate often
Additional Items
- Build a relationship with students and parents so that they know you want only the best for the student
- Submit all required items to administration in a timely manner
- Return all communication to parents within 24 hours of receiving it
- Be supportive of the PPA team at all times, but especially when speaking to parents and students
- Communicate with supervisor in regards to staff not following policies of PPA
- Complete anything assigned by your supervisor
