We are seeking a Senior Executive Assistant to support 3 Executives — the COO, General Counsel, and CFO. This role is ideal for an experienced administrative professional who is thoughtful, highly reliable, detail-oriented, and genuinely enjoys helping leaders and teams operate smoothly.
The role offers broad exposure across the firm. The COO oversees a cross-functional scope spanning the entire firm, creating a dynamic partnership role with visibility into many parts of the business.
We’re looking for someone who brings strong judgment, adaptability, and a calm, steady presence. Just as importantly, this person should have a no-ego approach to the work — someone equally comfortable managing complex coordination as they are at handling the tactical administrative details that keep everything running well. The right person takes pride in being dependable, organized, responsive, and helpful, while building strong relationships across the team over time.
Provide proactive administrative support to 3 Executives, managing schedules, meetings, priorities, and ad-hoc projects.
Manage active and evolving calendars with the ability to context switch and prioritize between the 3 executives
Coordinate meetings and logistics with strong attention to detail, follow-through, and responsiveness.
Prepare and submit accurate expense reports; maintain organized documentation, tracking, and reconciliation.
Provide scheduling context, reminders, and meeting preparation support to help executives stay organized and prepared.
Draft and manage professional correspondence, meeting materials, and presentation assets with clarity and accuracy.
Track tasks, deadlines, and follow-ups across executives to help maintain momentum and alignment.
Help executives stay organized amid changing priorities by proactively communicating updates, flagging conflicts, and keeping details from slipping through the cracks.
Build strong working relationships across teams and functions, developing an understanding of the business and how the organization operates.
Handle sensitive information with discretion, sound judgment, and professionalism.
Jump in where needed — whether strategic or highly tactical — with a positive, team-first mindset.
Collaborate closely with fellow Executive Assistants and contribute to a supportive, team-oriented administrative culture.
7+ years of relevant administrative experience supporting senior leaders
Proficiency in Google Workspace, Slack, AI tools (eg., Claude Co-work, GPT), Zoom, and expense reporting tools
Highly organized with strong attention to detail and follow-through
Responsive, dependable, and proactive in communication and execution
Clear and professional communicator with good judgment and a collaborative approach
Comfortable navigating changing priorities and shifting schedules with flexibility and composure
A strong service orientation and willingness to handle both strategic coordination and day-to-day administrative work with equal care
Team-oriented with a positive, low-ego approach and strong sense of ownership
Committed to discretion, integrity, and professionalism in handling confidential information
Bachelor’s degree
