Job Overview:
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will possess exceptional communication skills and the ability to manage multiple tasks effectively in a fast-paced environment. This role is pivotal in ensuring the smooth operation of daily activities and will involve a variety of administrative responsibilities
Duties:
-Manage and maintain executive calendars including scheduling appointments and coordinating meetings.
- Review emails, prioritize and action any critical items.
- Manage leadership meetings, agendas, recordings and assigned task follow ups.
- Sends out company wide emails and Teams chats based on content and needs.
-Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and professionalism.
-Organize and maintain files, both electronic and paper-based, ensuring easy access to important documents.
-Utilize computer literacy skills to manage various software applications including video conferencing (Teams, Zoom, etc.)
-Assist with document management using tools such as DocuSign for electronic signatures.
- Coordinate travel arrangements, including itineraries, accommodations, and transportation for executives.
-Support project management by tracking deadlines and deliverables while maintaining organized records.
-Greet Visitors and determine where to direct them
-Order office supplies and manage inventory levels
- Handle phone systems with excellent phone etiquette, addressing inquiries and directing calls as necessary.
- Transcribe meeting minutes accurately
- Provide exceptional customer service to internal and external stakeholders
Qualifications:
- Proven experience as an Executive Administrative Assistant or similar role
- Proficient in Microsoft Office Suite (PowerPoint, Excel, Word) TEAMS, SharePoint and One Drive
- Excellent organizational skills with the ability to prioritize tasks
- Strong computer literacy with knowledge of office equipment and procedures
- Exceptional communication skills, both written and verbal
- Excellent proofreading skills with attention to detail in all written communications.
-Strong interpersonal skills with the ability to interact professionally at all levels of the organization.
-Ability to handle confidential information with discretion and integrity.
-A proactive approach to problem-solving with strong decision-making capabilities.
-Communicate with people outside the organization, representing the organization to customers, the public, government and other external sources via in person, in writing or phone.
