Position Summary
We are seeking a highly organized, proactive, and detail-oriented Administrative Assistant to support daily operations within a fast-paced welding testing laboratory and manufacturing environment in Corpus Christi, Texas.
The ideal candidate is professional, dependable, customer-focused, and capable of managing multiple priorities in an industrial and technical environment. Bilingual English/Spanish communication skills are highly preferred.
Key Responsibilities
- Answer phones, greet visitors, customers, inspectors, and clients professionally.
- Maintain organized digital and physical filing systems for testing records, certifications, and customer documentation.
- Scan, file, and manage reports, welder qualification records, WPS/PQR documents, and project paperwork.
- Coordinate internal paperwork flow between laboratory, production, QA/QC, and management teams.
- Maintain office supplies, shipping materials, and general office organization.
- Assist with scheduling meetings, training sessions, inspections, and customer visits.
- Support travel arrangements, lodging, and logistics for field personnel or inspectors as needed.
- Assist with onboarding paperwork and employee administrative support.
- Support general office operations and special projects as assigned.
Qualifications
- Minimum 2–4 years of administrative, office coordination, project support, or customer service experience.
- Experience in industrial, manufacturing, construction, fabrication, welding, or technical environments preferred.
- Strong organizational and multitasking skills with exceptional attention to detail.
- Ability to manage multiple deadlines and priorities in a fast-paced environment.
- Proficiency with:
- Microsoft Office (Word, Excel, Outlook)
- PDF editing software
- File management systems
- CRM or ERP systems preferred
- Strong verbal and written communication skills.
- Professional customer service and phone etiquette.
- Ability to maintain confidentiality and handle sensitive documentation.
- Bilingual English/Spanish preferred.
- High School Diploma or GED required; Associate degree preferred.
