Bloomington Public Schools is seeking a welcoming, customer service-focused professional in the Educational Services Center/district office.
The Cabinet Administrative Assistant and Registrar provides administrative support to the Executive Director of Community Relations and Emergency Management, the Community Relations and Volunteer Connection teams, and Executive Assistant to Superintendent and School Board. This position serves as the District Registrar and main office receptionist.
Required Skills:
- Proficient in Google suite tools, including Gmail, Chat, Meet, Calendar; Drive for storage; Docs, Sheets, Slides, Forms, and Sites for collaboration; and Microsoft Office (Word, Excel, PowerPoint). Additional experience preferred in Laserfiche, student information systems or similar digital tools and platforms.
- Strong communication and customer-service skills, including personable attitude, and ability to communicate effectively, both verbally and in writing.
- Knowledge of FERPA and student data privacy. Federal guidelines pertaining to student records and retention schedules is strongly preferred.
- Has or is willing to obtain a commission as Notary Public.
- Ability to work independently and multitask in a high-demand setting (e.g. phones, receptionist, customer service)
- Strong problem-solving and analytical skills
- Detail oriented to ensure tasks are completed in a timely manner
Education and Experience:
- High school education or GED
- Five to seven years administrative assistant experience, preferably in an educational setting, or an equivalent combination of education and experience
Responsibilities:
- Answer and respond or direct all calls received at the main District phone number. Welcome and direct internal and external visitors. Maintain a high level of school security protocols.
- Maintain general office organization, clerical and budget management and reporting, purchase orders, and printed communication and correspondence; schedule meetings; maintain files; order equipment and supplies; maintain copier/printers; provide support in planning, logistics and materials for district special events and celebrations (e.g. Senior Achievement, Celebration of Service, Veterans Day, holiday cards, food drive, United Way campaign, back-to-school celebration); maintain Google calendar event listings for district website.
- Manage Volunteer Connection applications, background checks & budget; monitor and maintain volunteer programming tasks; assist school staff and volunteers with applications, background checks, updates; support Volunteer Experiences Coordinator; support program grants including reporting and accountability.
- Process student transcript, health and other related requests, including confidential student records and transcripts, and employment background screening verifications. Custodian of all student records.
- Other duties as assigned.
