WI is seeking a highly organized, proactive, and solutions-oriented Executive Assistant to support members of the Executive Leadership Team in our New York office. This role sits at the center of the organization and requires exceptional judgment, discretion, communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is not only exceptional at execution, but also anticipates needs, stays several steps ahead, and brings structure and calm to complexity.
At WI the Executive Assistant operates as a collaborative support function across the Executive Leadership Team, ensuring seamless coordination, communication, scheduling, travel management, and operational support across the agency.
Executive Support
- Manage complex, high-volume calendars across multiple time zones for assigned executive leaders
- Prioritize competing requests and shifting business needs with sound judgment and attention to detail
- Prepare leaders for meetings, travel, presentations, and key engagements by coordinating schedules, materials, and logistics
- Anticipate executive needs and proactively improve workflow, communication, and day-to-day efficiency
- Serve as a trusted liaison between executives, internal teams, clients, and external partners
- Represent leadership with professionalism, discretion, and strong executive presence in all interactions
Travel & Expense Management
- Coordinate domestic and international travel, including itineraries, accommodations, and schedule adjustments
- Prepare and reconcile expense reports accurately and in accordance with company policies
- Support travel-related logistics and administrative coordination for assigned leaders
Leadership & Team Support
- Provide administrative partnership to members of the Executive Leadership Team, including scheduling, travel coordination, and operational support
- Coordinate logistics for leadership meetings, client engagements, presentations, and internal events
- Partner collaboratively with the broader Executive Assistant team to ensure continuity of support and coverage across the organization
- Support office operations and in-person leadership needs, including visitor coordination and meeting preparation as needed
Operational Excellence
- Maintain confidentiality and exercise discretion when handling sensitive information and communications
- Track and support timesheet completion and compliance for assigned leaders
- Bring structure, organization, and follow-through to a fast-paced and evolving environment
- Demonstrate strong problem-solving skills, adaptability, and responsiveness under pressure
- Contribute to process improvement and operational consistency across executive support functions
- 5 – 8 years of experience supporting senior executives in a fast-paced corporate or agency environment required
- Proven ability to manage multiple leaders, priorities, and competing deadlines simultaneously
- Exceptional organizational, time management, and prioritization skills with strong attention to detail
- Strong written and verbal communication skills with a high level of professionalism and executive presence
- Demonstrated ability to engage confidently and professionally with senior stakeholders, clients, and external partners
- Ability to operate independently while maintaining alignment and collaboration with leadership and broader administrative teams
- High level of discretion, professionalism, and integrity in handling confidential and sensitive information
- Advanced proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint
- Experience coordinating domestic and international travel across multiple time zones preferred
- Comfortable working within Mac-based environments and systems
- Strong interpersonal and relationship-building skills with the ability to establish trust and credibility across teams
- Ability to remain calm under pressure and adapt effectively within dynamic, fast-moving environments
- Proactive, solutions-oriented mindset with the ability to anticipate needs and stay ahead of shifting priorities
- Collaborative, team-oriented approach with a strong service mindset
- Experience operating within client-facing environments preferred
Additional Information
- Hybrid work model: Tuesday through Thursday in office (New York)
- Flexibility required based on leadership schedules and business needs
- Occasional after-hours support may be required based on travel, client meetings, or executive schedules
The salary range for this position is $90,000 to $105,000.00. Where an employee or prospective employee is paid within this range will depend on, among other factors, actual ranges for current/former employees in the subject position; the associated discipline; market considerations; budgetary considerations; tenure and standing with the company(applicable to current employees); as well as the employee’s/applicant’s background, pertinent experience, and qualifications.
