Position Overview:
As an Executive Assistant, you will provide high-level administrative and operational support directly to the Managing Partner. This role requires strong organizational discipline, technical aptitude, and the ability to operate in a fast-paced, highly structured environment. You will manage executive workflows, coordinate international logistics, and ensure seamless communication across multiple business initiatives and global time zones.
Work Schedule and Arrangement: 11:00 PM- 8:00 AM, Remote
Office Location: 8th floor Skyrise 4B Building, IT Park, Lahug, Cebu City, Cebu
Key Responsibilities:
Executive Scheduling and Communication
- Manage a dynamic PST-aligned calendar, proactively resolving scheduling conflicts and optimizing time allocation.
- Draft, review, and organize executive correspondence with a strong focus on accuracy, tone, and professionalism.
- Coordinate communication with high-priority clients and stakeholders across multiple time zones.
Travel and Logistics Management
- Coordinate end-to-end domestic and international travel arrangements, including flights, accommodations, and itineraries.
- Ensure adherence to preferred travel partners and airlines, including Southwest Airlines, United Airlines, Emirates, Air India, and Marriott-affiliated properties.
- Anticipate scheduling and logistical needs to ensure seamless executive travel experiences.
Project and Operations Support
- Support ongoing operational initiatives aligned with structured methodologies such as PMP and Six Sigma principles.
- Track deliverables, manage recurring tasks, and maintain organized project documentation.
- Utilize internal tools and systems, including the “lock” project management platform, to ensure workflow efficiency and visibility.
Administrative Oversight
- Prepare executive briefs, meeting agendas, and expense reports with a high level of accuracy.
- Organize, format, and maintain documentation related to key initiatives, including the “1,000 Families Initiative.”
- Support the preparation of pitch decks, compliance reports, and other strategic materials.
Requirements:
- Senior Executive Assistant / C-suite support experience (3-5 years)
- Experience managing complex executive workflows, cross-time-zone calendars, and international coordination
- Strong background in confidential data handling and complex project tracking in structured environments
- Familiarity with PMP and/or Six Sigma principles
- High proficiency in MS Office or Google Workspace and ability to quickly adapt to internal systems/tools
- Proven ability to manage high-volume, fast-moving priorities across multiple stakeholders
- Experience producing accurate executive-level documents (briefs, reports, agendas, presentations)
- EB-5 or similar investment migration exposure is a plus and may be aligned with sales/commission opportunities
Salary and monetary benefits (in PHP):
- Monthly salary of 75,000php - 110,000php
- New hire bonus of 5,000php
- Risk allowance of 2,000php
