This position is responsible for providing clerical support services for the paramedic and fire science faculty, such as preparing documents and receiving/processing all incoming calls, visitors, and mail services. In addition, this position will assist with the department budgets, monthly calendars, as well as ordering supplies and maintaining all files. In association with the Program Director, the Administrative Assistant provides data and input for program assessment, planning, implementation, and evaluation related to the Paramedic and Fire Science Programs.
Responsibilities include:
- Provides clerical and administrative support to the Paramedic and Fire Science Programs.
- Provides course and program information for interested/potential students and post-graduates via telephone, personal contact, and email.
- Generates all contracts, contract revisions for all clinical affiliates.
- Develops, coordinates, and maintains programs communications, semester syllabus, contracts, book orders, and daily administrative paperwork.
- Assures that compliance is maintained in all programmatic paperwork and distributed as required to meet accreditation, state, and federal requirements.
- Maintains office practices and procedures, office activities, and providing superior customer service to public, students, faculty, and staff.
- Generates all CEU certificates and prepares for mailing.
- Assists the faculty with clerical needs, course material preparations, and provides curriculum/program support for applications and registrations as requested.
- Prepares forms, makes copies, and sends copy requests.
- Maintains class paperwork and student files both electronic and paper.
- Prepares student clinical orientation packets and student name tags.
- Prepares requisitions for budgeting items based on the Paramedic Program Directors order requests, sends them in for processing, and completes the process for ordering equipment and supplies.
- Maintain compliance with all college policies and procedures.
- Maintains a program calendar to assist supervisor and faculty with appointments, meetings, and college schedules.
High school diploma or GED required; associate degree preferred. A minimum of two years of experience in an office setting or equivalent required. This position must be dependable and have excellent organizational and time management skills.
The salary range is $15.00 - $16.00 per hour. Excellent fringe benefit package includes, but not limited to health, dental, vision, and life insurance; sick and vacation leave; and the Missouri Public School & Education Employee Retirement System. Generous leave and holiday schedules.
