Description
The Administrative Assistant performs typical administrative work and provides clerical support to a specific County office. Public Works is a diverse Department encompassing multiple Divisions which provide a broad range of essential service functions for the County. This position requires an individual with a high level of organizational skills and the ability to learn quickly, as well as a high degree of flexibility regarding daily tasks and proven customer service skills.
Examples of Duties
- Reviews and maintains files in the office filing system;
- Collects information, assembles data, and compiles data for special and periodic reports;
- Tracks monthly budget expenditures and prepares payment vouchers for department expenditures;
- Answers telephones and greets customers; must develop a knowledge base to provide accurately re-directed customer service to outside departments and agencies.
- Takes notes at meetings; prepare minutes and distributes minutes;
- Manages and maintains office supplies and equipment;
- Performs other related duties as assigned.
- Coordinates fleet services with VMCC and Voyager.
- Maintains and administers fleet check out system for pool vehicles
- Performs various mail duties
- Observe all approved safety and health policies and procedures pertaining to his/her work activities and perform all work tasks in a safe and healthy manner in accordance with County policy.
- Performs other assigned duties
PHYSICAL DEMANDSThe work is sedentary work: Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Requires the use of fingers, grasping, handling, hearing, kneeling, lifting, mental acuity, reaching, repetitive motion, speaking, talking, visual acuity, and walking.
Required Qualifications
- High School Diploma or equivalent;
- Two (2) years of related work experience;
- Or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

While some will perform their regular duties, others may be assigned to report at a different time and location and to perform different duties from their regular jobs. Employees will either be deemed essential personnel and provide services that must continue regardless of or pursuant to a state of emergency or will be deemed nonessential personnel that will be required to report to work in an emergency if they receive an assignment to shelter duty or other duty.
