We’re looking for a detail-oriented Business Administrative Assistant to support our Business Manager and operations team. This role plays a key part in day-to-day financial and administrative activities, including invoicing, billing, inventory support, and general office operations.

What You’ll Do
- Process invoices, billing, and accounts payable/receivable
- Post weekly bank deposits and support order credit approvals
- Submit customer and portal invoicing
- Review statements, investigate discrepancies, and correct errors
- Process purchase orders, warehouse transfers, and direct vendor billing
- Audit inventory counts and reconcile discrepancies
- Review and adjust inventory data, including non-stock items
- Generate and distribute reports using Excel and internal systems
- Serve as backup for customer order intake and order processing
- Provide general office and administrative support
- Assist with department oversight when the manager is unavailable
- Perform other related duties as needed
What We’re Looking For
- Strong working knowledge of accounting principles
- Hands-on experience with AP, AR, billing, and inventory/cycle counts
- Comfortable working with data, reports, and spreadsheets
- Moderate to strong Excel skills (required)
- Strong attention to detail and high level of accuracy
- Excellent communication and customer service skills
- Ability to manage multiple priorities and meet deadlines
- Self-motivated, dependable, and team-oriented
- High integrity, strong work ethic, and reliable attendance
Qualifications
- 4+ years of experience in a business, accounting, or financial environment
- Associate degree preferred (or equivalent experience)
- Experience in product distribution or inventory systems is a plus
Work Environment & Physical Requirements
- Indoor office environment with occasional exposure to warehouse conditions
- Moderate noise level
- Ability to occasionally lift up to 50 pounds
- Regular use of hands, computer, and phone
- Occasional standing, walking, stooping, kneeling, or crouching
